Position Purpose:
Process payments of hotel bills after verifying that all documents are accurate as to items, price, extensions and proper receiving and approval by the department head, Comptroller and Management were obtained.
Essential Functions:
(Average Percent of Time)
30% Match receiving records, purchase orders, requisitions, and invoices for proper encoding and approvals. Verify invoices versus purchase order/requisition for purchase as to items, specs, quantity and receipt.
20% Post the processed invoices to the Accounting System in a timely manner to ensure that cash discounts are taken, and penalty/late charges are avoided.
20% Maintain Purchase Orders.
20% Balance accounts monthly, process check runs. Review all accounts to ensure that they are current. Research duplicate invoices or copies before processing payments. Ensure that all invoices are attached to the check before sending them for signature.
10% Perform other duties and responsibilities asked by the Controller and the Assistant Controller based upon department needs.
Supportive Functions:
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.
· Ensure all Accounts Payable Reports are kept in storage in compliance with the hotels established retention period.
· Ensure all service agreements are current and adhered to as far as charges and coverage.
· Ensure all entertainment agreements are current and signed.
· Compile Federal ID and Social Security Numbers for all vendors for yearend processing of 1099's.
Specific Job Knowledge, Skill and Ability:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
· Basic knowledge of bookkeeping filing systems.
· Basic mathematical skills and ability to operate a 10-key by touch.
· Ability to effectively deal with guest and employee concerns in a friendly and positive manner. This involves listening to the nature of concern, demonstrating empathy with the customer and providing positive and proactive solutions.
· Ability to read, write and speak English sufficient to understand and communicate with employees and guests. Must have excellent telephone etiquette skills.
· Ability to do repetitious work and be detail oriented.
· Ability to work quickly and neatly.
Qualification Standards:
Education:
Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge skills and abilities. High school diploma required.
Experience:
At least two years hotel accounting experience required.
Licenses or certificates:
None.
Grooming:
All employees must maintain a neat, clean and well-groomed appearance (specific standards available).
