Overview:

Incumbents in the Administrative Assistant position perform a variety of administrative support duties for the Senior Associate Vice President of the Uintah Basin Campuses and other campus administrators including the Associate Campus Director and the Director of the Bingham Research Center. This position reports to the USU Uintah Basin Senior Associate Vice President or another campus administrator. This position requires an organized, detail-oriented, customer oriented, confidential, and proactive individual to provide administrative support. The position requires excellent customer-service and the ability to work productively in a fast-paced environment. Confidentiality and professional communication skills are essential in working with the campus administration, faculty, students, staff and supporting community members.

Responsibilities:
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, calendar management, and other general duties as assigned.
  • Screens inquiries and requests; uses judgement and tact to prioritize schedules, calendars, and meetings.
  • Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
  • Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the campus.
  • Composes and word-processes various standard documents, correspondence, and reports.
  • Prepares agendas, coordinates meetings, and transcribes meeting minutes.
  • Plans and executes events, including banquets, receptions, retreats, etc.
  • Performs other miscellaneous duties as assigned.
  • Updates campus website and social media content as well as other digital resources.
  • Compiles data, and prepares papers for consideration and presentation by executives, committees, and directors.
  • Provides general travel and logistical support including coordinating with business services personnel related to travel reservations, correspondence, and records.
  • Performs various secretarial duties; composes and types letters, memos, and other correspondence; edits written documents for grammar, formatting and accuracy; maintains appropriate files of important administrative documents.
  • Processes purchasing and PCard related tasks.
  • Provides administrative support for campus approvals and budget processes.
  • Assists the student services team in meeting student needs through excellent customer service.
  • Performs other related duties as assigned.
Qualifications:
Minimum Qualifications
  • Four years of experience; or vocational/technical training/associate degree in an office or business field plus two years of related experience; or a bachelor’s degree in a related field is required.
Preferred Qualifications
  • Bachelor’s degree and previous work as an administrative assistant.
  • Experience working in an academic or educational setting.
  • Previous experience in higher education.

  • Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.

  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
