Administrative Coordinator Job at UCLA
Incumbent provides high-level administrative support to the Department. Responsibilities include independent coordination of events, seminars and meetings; analyzing data and preparing reports as appropriate; processing purchases and reimbursements using University online systems; reviewing open encumbrances and reconciling expenses; independent management of the Department website and calendar; supervising work study students; coordinating the accreditation process including collecting and analyzing data for the report; assisting with Department faculty searches and the postdoctoral training program, and managing the Visiting Scholars program, ensuring eligibility. Incumbent will assist with collection and analysis of training grant data and will manage all facilities-related issues. Other duties as assigned.

Demonstrated ability to communicate clearly, using correct syntax and grammar both verbally and in writing.

Demonstrated ability to work independently and multi-task when frequently interrupted and with overlapping work assignments.
Required
Demonstrated PC computer skills with working knowledge of computer systems including MS Office Suite (Word, Excel, and PowerPoint).
Required
Ability to maintain and setup LCD and laptop as well as maintain copier, fax, and other computer equipment.
Required
Working knowledge of UCLA online systems such as BruinBuy, Concur, Connexxus, UCLA Academic Recruit, etc.
Preferred
Demonstrated organizational skills to arrange various seminars, meetings, Zoom logistics and recordings, meeting minutes, visitor travel arrangements and schedules, meet deadlines, etc.
Required
Knowledge of Access (if needed), PowerPoint and Outlook (to schedule meetings, LCD, laptop, etc.).

Ability to work effectively in a diversified and multi-cultural environment.

Bachelor's degree or a minimum of five years demonstrated experience in academic administration or combination of related work and/or educational experience.

Demonstrated problem-solving skills and ability to analyze information and situations and propose alternative solutions.
