POSITION OVERVIEW
This Administrative Secretary works as the administrative assistant to the Middle School Principal, and is the primary building secretary. This position also includes significant budget responsibilities.

EXAMPLES OF DUTIES :
Duties may include, but are not necessarily limited to:

  • Type letters, correspondence, memorandums and complex documents for the building principal and assistant principals as needed.
  • Schedule appointments and maintain that schedule as needed for the building principal.
  • Take, transcribe and distribute minutes of staff meetings.
  • Coordinate the placement of substitute teachers daily.
  • Maintain accurate records of time off (sick, business and conference days, etc.) used by all middle school personnel and prepare information for payroll, including reconciling to substitute usage.
  • Enter and process requisitions.
  • Process and maintain an up-to-date encumbrance record for the school, using Skyward.
  • Process and distribute all incoming materials/supplies and prepare and package materials that must be returned to vendors.
  • Maintain accurate, current vendor lists.
  • Obtain all necessary forms to follow business office procedures (1099 new vendors, Michigan Student Data System (MSDS) sheets, insurance requirements for field trips and insurance for vendors, etc.).
  • Receive, prepare, and make bank deposits for various school accounts.
  • Reconcile bank statements for each middle school account on a monthly basis.
  • Assist in securing bids for materials and/or services according to STCS policies and procedures.
  • Communicate with internal account users to maintain status of internal accounts.
  • Process internal fund disbursements and maintain all supporting documentation.
  • Process all field trip and fundraiser applications.
  • Assist is preparing for the financial audit.
  • Coordinate and in service other middle school secretaries and office assistants on, and with, computer programs, including attendance and discipline.
  • Coordinate calendars for office staff.
  • Witness and/or administer student medication.
  • Assists administrators/teachers/counselors/coaches with special projects.
  • Maintain an accurate list of middle school staff, parents, volunteers and student organizations.
  • Maintain a regular filing system and process correspondence as instructed.
  • Assist in placing and receiving telephone calls and recording messages.
  • Maintain confidentiality of department and student information.
  • Occasional coverage at the front reception desk to greet and process students, parents, deliveries and visitors
  • Perform such other tasks as may be assigned.


MINIMUM QUALIFICATIONS :

  • High School diploma or GED. Associate or higher degree in Business or applicable field preferred.
  • Knowledgeable in modern office practices and procedures.
  • Ability in keyboarding and data entry with speed and accuracy. Skilled in the use of computers and office equipment.
  • Skilled in the use of software, particularly word processing and spreadsheets.
  • Ability to understand and follow written and oral instructions.
  • Ability to work effectively and positively with employees, students and the general public.
  • Ability to assume responsibility and maintain confidentiality.
  • Ability to work independently and as a team member.
  • Ability to prioritize, multi-task and manage office tasks efficiently.
  • Ability to assume responsibility, maintain confidentiality, and demonstrate organizational abilities to carry out a project to completion.

MENTAL/PHYSICAL REQUIREMENTS:

  • Daily, in-person attendance required
  • Maintain emotional control under stress
  • Ability to use sound judgment; tact and courtesy in a variety of situations
  • Work with frequent interruptions

  • Possible occasional lifting or pushing of up to 25 pounds
  • Vision requirements include close up reading such as needed for handwritten or typed material, ability to adjust focus and depth perception.

WORK ENVIRONMENT :
Primarily an indoor work environment in the main office of an open campus multiple buildings middle school.

HOURS/PAY :

  • 7.5 hours per day (+ 30-minute unpaid lunchbreak)
  • 230 workdays (August through June)
  • Wages pursuant to collective bargaining agreement with Saginaw Township Educational Office Personnel (STEOP) Salary and benefits are pursuant to the collective bargaining agreement between the district and Saginaw Township Educational Office Personnel (STEOP).
  • Current hourly rates are $13.6466 – $18.2617
  • Educational stipend of $0.80 per hour for individuals with Associates Degree or 60+ college credits (official transcripts must be received by district in order to qualify)
  • Medical, dental and vision benefits available (Employees new to the district pay 10.0% of cost).

The parties’ collective bargaining agreement has a wage re-opener for the 2023-2024 school year , and is through July 31, 2024.
