About the Job
Family Centered Services of Alaska is seeking an Administrative Services Manager to assist in daily office operation and provide administrative and clerical support services.
Roles & Responsibilities
- Arrange for clerical and administrative support to the RTC Director, Director of Program Operations and other senior managers and ensure the smooth functioning of the administrative and clerical support operations of FCSA.
- Responsible to provide or arrange for training and supervision of the Receptionist and any other staff as assigned.
- Provide for or arrange for training for all personnel on the phone system, fax and copy machines, and coordinate maintenance with the Facilities Director of the office machines.
- Understands and is able to maintain the importance of confidentiality.
- Arrange all FCSA travel for staff as directed.
- Budget and account for administrative purchases, office supplies inventories and contractual agreements as delegated by the RTC Director.
- Manage and organize the RTC petty cash account, staff credit cards and purchase orders.
- Record, organize, and Prepare meeting materials, meeting minutes (i.e., Rounds, Restraint Reduction, Leadership, Unit Director/Unit Managers, etc.) as assigned.
- Prepares monthly reports and ensures timely submission as directed.
- Performs receptionist duties, when needed.
- Develops and maintains accounts and relationships with necessary vendors.
- Coordinate all RTC mail services.
Education & Qualifications
- High School diploma or GED; Associate degree preferred.
- Two years office and clerical experience.
- Preferred work experience as a senior administrative assistant in a similar job setting.
- Strong organizational skills.
- Knowledge of professional writing standards and experience in preparing professional letters and/or correspondence.
- Excellent verbal communication skills and experience in writing professional correspondence.
- Strong computer skills, to include familiarity with Microsoft Office, Publisher and Excel, Adobe and other software.
- Strong organizational skills and the ability to prioritize work assignments.
- Current Alaska driver’s license and insurable driving record in accordance with FCSA policy limitations/restrictions.
- Freedom from previous criminal convictions that may adversely affect the employee’s compatibility with the RTC clients and employee standards established by FCSA. A fingerprint and/or records check will be required.
This position is a driving position. Applicants will be required to submit a driving record if selected for the position.
All applicants must be at least 21 years of age due to State of AK regulations and must pass a State of AK Background Check.
Job Type: Full-time
Pay: $18.24 - $19.35 per hour
