The administrative specialist is primarily responsible for providing administrative, training event and general office support.
Essential Duties and Responsibilities
As a Crisis Intervention Training (CIT) Administrative Specialist, you will communicate with outside agencies and participants to help support all training efforts. Maintain all CIT training curricula with latest updates. Support CIT program staff before and at training events (virtual or in person)—including managing and maintaining trainings logistics on the document shared with our external data evaluators. Maintain database, using Excel, Microix, and Word in a timely manner and assists with data entry. Create and manage invoices and project tracking in Asana. Provide copying, scanning, typing, and word-processing support as needed. Reads and respond to emails within 24 hours (Monday through Friday). Processes and maintains Agency files in accordance with Agency policies and procedures. Supports with monthly reporting initiatives in a timely fashion and ensures accuracy of data reporting in collaboration with external data evaluators. Responds to detailed inquiries from management, staff, and community members seeking trainings.
The Administrative Specialist will also effectively present information in one-on-one and small group situations. Maintains and demonstrates a working knowledge of current systems and policies for purposes of supporting staff. Schedule and coordinate internal and external meetings directed by management. Responsible for preparation and note taking during meetings. Screens, sorts and directs/distributes incoming calls, correspondence and interoffice materials. The Crisis Intervention Training Administrative Specialist is knowledgeable about all services the Agency provides. Coordinates and maintains all office equipment and supplies—including ordering to replenish stock. Participates in errands such as delivery/pick-up of Agency projects, meeting lunches, refreshments, and/or other special items. Proficient using Microsoft Office Suite, Google applications and programs.
Minimum Qualifications
High school diploma or general education degree (GED) required; and two years related experience; or equivalent combination of education and experience. Ability to read, comprehend and prepare simple instructions, short correspondence, and memos. Effectively organize and manage multiple priorities. Strong customer service, attention to detail, dependable and reliable. Excellent interpersonal, communication and problem-solving skills.
