ABOUT THIS JOB
Looking for an energetic, organized and supportive person with great office skills to coordinate reception activities in our diverse, busy Centers and to be the anchor for our Mid County Center. The Volunteer Center is home to 20+ programs that serve our community with three Centers in Santa Cruz, Watsonville and Mid-County. JOB DUTIES
1. Is our Team Leader to sustain reception systems, training and support for volunteer, intern and staff receptionists so people contacting us on the phone or in person to volunteer, learn or seek services have an excellent customer experience and get connected in a timely fashion to the person who can help them.
a. Provide direct support and supervision to Mid County office volunteers including maintain volunteer files, scheduling and tracking hours on database.
b. Trains new volunteers and staff on use of basic office tools – phones, copier/printer, google calendars, petty cash, various forms; and systems – mail, opening and closing, inventory and supply access.
c. Be available by phone, online and occasionally in person for coaching, problem solving, training and convening of Receptionists in our Watsonville and Santa Cruz/Harvey West Centers.
d. Schedules utilization of shared space for meetingsand program uses.
e. Works with leadership to maintain and update Office/Procedures Manuals as needed.
2. Provides general Administrative Support as the anchor for our Mid-County Center.
a. Performs clerical tasks as needed including writing simple documents, updating forms, data entry, filing, copying, maintaining shared google drives and back –up for reception.
b. Manages office volunteers in simple projects in support of programs such as assembling bulk mailings, preparing binders and materials for trainings, making phone calls to volunteers and program participants.
c. May take minutes/notes at online or in person meetings.
3. Works as a Team Member to achieve agency goals for community engagement and safe and welcoming spaces.
a. Is a member of the Safety Committee and the Site Safety Coordinator for our Mid County Center.
b. In coordination with Sr. Administrative Coordinator, manage bulk purchasing of basic office supplies for all sites.
SKILLS, KNOWLEDGE AND ABILITIES
· Strong skills in customer engagement in a busy office setting, with at least 3 years experience in reception or customer engagement, functional knowledge of multiline phone systems.
· Excellent skills with Microsoft Office, Google Suite and data management systems required.
· At least 2 years experience coaching and training volunteers or other team members, including preparing schedules.
· Strong oral and written communication skills, demonstrated by an AA Degree or by submitting simple writing samples.
· High level of focus. Ability to multi-task and manage distractions.
· Ability to engage positively with diverse populations, including seniors, youth, people who are unhoused, people with disabilities.
· Bilingual English/Spanish required.
· Car and driver’s license strongly preferred.
WORKING WITH US
32 Hours/Week, Generous Benefits/$21.04 – $24.15 per hour to start, depending on skills and experience
