Advancement Office Manager
Burr and Burton Academy is seeking an experienced, full-time Advancement Office Manager. Since its founding in 1829, Burr and Burton has been an independent Vermont high school that serves the public. It serves as the local high school for area students, while also attracting students from overseas. Situated at the foot of Mt. Equinox and overlooking picturesque Manchester Village, Burr and Burton is a school with a proud tradition of educating students of diverse backgrounds and talents in a supportive and caring environment.
This position supports the work of the school’s Advancement and Communications team. Candidates should have outstanding organizational skills and attention to detail, as well as comfort with technology and strong people skills.
Key responsibilities include:
- Office Coordination and Event Support -- Manages the administrative needs of the Advancement Office including scheduling, welcoming visitors, answering phones, working with outside vendors, mail merging for mailings and name tags, and ordering office supplies. Also supports key Advancement events such as The Gala and Reunion.
- Gift Recording -- Enters all gifts, commitments, and pledge payments in Raiser’s Edge when received, and partners with the Business Office to ensure accuracy and in both gift recording and financial reports.
- Stewardship and Acknowledgment -- Using recorded transactions, prepares all print and electronic gift acknowledgments and tax documentation as appropriate. Maintains records of acknowledgment letters and tax receipts in accordance with BBA policy and IRS guidelines. In the case of tribute giving, tracks totals and alerts honoree or family.
- Data and Reporting -- Manages data imports, updates, and additions, both regularly (new students and families, graduating classes) and ad hoc. Adheres to best practices in data structure. Generates regular and ad hoc reporting, and assists with list generation for print appeals and publication mailings.
Required skills:
- Strong organizational and communication skills, and attention to detail.
- Demonstrated database facility; Raiser’s Edge and RE/NXT Certification will be part of required training.
- Facility with Google Workspace, and Microsoft Office tools, with a heavy emphasis on Excel and mail merge functions.
- Ability to develop rapport and build relationships with colleagues and community members.
