General Summary
The Assistant Front Office Manager assists in managing all aspects of the department including, but not limited to, operations, planning, budgeting, staffing and payroll in accordance with hotel policies and procedures. This position also provides leadership and support to all members of the Front Office, as well as implements and enforces the hotel’s policies and procedures in all areas supervised.
Primary / Key Essential Functions and Responsibilities
· Complete the registration process by inputting and retrieving information from a computer system, including confirming number of guests and room rate, make appropriate selection of rooms based on guest needs, and code electronic keys
· Verify credit cards for authorization using electronic acceptance methods. Handle cash, make change and balance an assigned house bank
· Accurately post charges to guest rooms and house accounts
· Promptly answer the telephone, input messages into the computer, retrieve messages and mail/packages for guests as requested
· Promote Hotels and Resorts and brand marketing programs
· Maintain clean and organized work environment at the front desk
· Close guest accounts at time of check out and ascertain satisfaction
· Monitor activities of employees in the Front Office department when Front Office Manager is not present, as well as assist with coaching, training and disciplining as needed
· Maintain a professional and high-quality service oriented environment at all times
· Acts as manager on duty for the hotel when scheduled by responding to complaints, problem solving, disturbances, special requests and any other issues that may arise
· Check accommodations and ensure any special requests are carried out according
· Responsible for timekeeping of employees
· Coordinate with the all departments to improve guest services and foster cross-departmental communication
· Complete daily checklist
· Follow up on guest requests to ensure items are completed in a timely matter
· Become familiar with Brand promotions, standards.
· Achieve goals set by management
· Night Audit when needed
· Any and all other duties assigned by the supervisor
Education and/or Experience and Qualifications
Minimum Education: High School Diploma or GED, some college preferred
Minimum Experience: Three to five (3-5) years of experience, previous Front Office experience in supervisory / management capacity in a branded property required. As well as, ability to speak a second language preferred
Knowledge, Skills and Abilities
· Expected to have experience and be proficient in Property Management Software
· Expected to have leadership and problem-solving abilities
· Expected to interact positively with other employees of all levels
· Expected to exhibit adaptability, flexibility, self-control and maturity in work and behavior
· Expected to analyze, interpret and communicate data effectively both verbally and in writing
· Expected to effectively present information and respond to questions from leadership
· Expected to have strong organizational and time management skills
Management / Supervisory Authority
Responsible for supervision and training of all Front Office employees including, but not limited to, Trainees, Concierge, Bell and Door staff, Shuttle Drivers, Night Auditor and College Interns.

The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The employee is exposed to outside weather conditions.
