Primary Purpose:

This position is responsible for coordinating facility and program specific duties

including:

  • Staff scheduling
  • Secretarial support
  • Facility management
  • Client goal tracking and oversight
  • Training support for direct care staff
  • Assistance with delegated tasks from RN Supervisor or Executive Director
  • Providing support to clients while upholding the standards and values of the Mission of Belevo Health.

Qualifications:

  • High School diploma plus specialized training of less than two years required.
  • 3-5 years’ experience in similar supervisor related position.
  • MN Driver’s license and full coverage insurance

Other Specialized Knowledge and Abilities:

  • Proficiency in Windows and Microsoft Office including Word and Excel.
  • Ability to work under pressure and meet tight deadlines.
  • Ability to communicate clearly, accurately, effectively, and patiently, including a courteous and helpful attitude with a keen appreciation of the public relations aspects of this position.
  • Must be flexible and able to work within a diverse team.
  • Must be able to assess and understand the needs of all Belevo Health staff and or clients.

Essential Job Functions & Tasks:

Job Function: Staff Scheduling

Tasks:

  • Prepare schedules for all staff bi-weekly and monthly.
  • Manage Scheduling app and staff access.
  • Training and enforce Belevo’s attendance policy.
  • Manage bi-weekly payroll report.
  • Manage all scheduling conflicts and no shows.

Job Function: Provide office support.

Tasks:

  • Retrieve phone messages and answer phones regularly, taking messages as needed.
  • Type, as required, client summaries, correspondence, contracts, memos, and reports.
  • Establish proper formatting techniques and grammar when typing documents.
  • Maintain confidentiality of all material.
  • Assist with program or meeting arrangements for special functions.
  • Maintain client files, unit files, and appropriate documents as required by management both monthly and yearly.
  • Keep Manager informed and advised of needs and problems.
  • Copy and fax materials as needed.

Job Function: Facility Management

Tasks:

  • Establish and maintain good working relationships with the surrounding community, social service, and county agencies.
  • Give occasional tours and information to perspective clients.
  • Manage all supplies and inventory per program requirements.
  • Enter new clients in all building and accounting systems.
  • Manage facility presence and cleanliness.
  • Emergency Preparedness Plans

Job Function: Provide Client services support.

Tasks:

  • Make recommendations for financial, social, and personal needs of the clients.
  • Be receptive to clients’ questions, comments, complaints, and service requests taking prompt corrective action.
  • Take appropriate action in case of emergency.
  • Other duties as assigned.

POSITION CONTACTS:

  • This position reports to and is supervised by the Assisted Living Director.
  • Develop good working relationship with entire on-site staff.
  • Support the Mission of Belevo Health and establish good working relationships with Executive staff.
  • Establish positive relationships with clients.
  • Establish positive relationships with guests, vendors, and surrounding community.
  • Actively participate in professional associations related to the job.

Job Type: Full-time

Pay: $63,037.18 - $68,736.80 per year
