A well-established financial services firm in Warwick is seeking a part-time Client Operations Coordinator who can wear many hats and is passionate about what they do! Starting at 15-20 hours with the expectation to increase along with our continued growth over the years. Daily schedule is flexible within normal business timeframes. We are dedicated to developing a mutually beneficial, long-term relationship; be a team player! The position includes, but is not limited to the following:

  • Business Operations:

o Processing, tracking, and communicating with advisor regarding new business submissions (including but not limited to managed accounts, annuities, & life insurance)

o Must be comfortable with both paperless (e-signature) and paper applications

o Completing administrative processes (Ex. applications, compliance, electronic filing & data entry)

o Following established Firm guidelines on maintaining client data and records

  • Client Service:

o Preparing materials for client and prospective client meetings

 Assist advisor in creating review reports, proposals, and illustrations

o Occasionally answer phones, greet visitors

o In coordination with our administrative staff, scheduling meetings, special events

The qualified candidate has:

  • 3+ years prior work experience as Client Operations/Service Coordinator is required.
  • Strong administrative, organizational, and communication skills as well as experience in financial planning administration.
  • Adobe, Word, Excel, PowerPoint, Outlook experience a must.
  • Salesforce, SmartOffice/Redtail CRM experience strongly preferred.
  • Confidentiality is a priority. Demonstrate the highest levels of sound judgment, discretion, diplomacy and confidentiality always.
  • Be ready to dive into complex situations and remain diligent about following up through project completion.
  • Be able to prioritize work assignments, meet deadlines.
  • Impeccable customer service skills and able to multi-task while maintaining a positive focus and high energy level.
  • Applicant must have the ability to operate in a fast paced, highly dynamic environment.
  • Strong oral and written communication skills
  • Attention to detail, ability to manage a variety of tasks and meet deadlines, and reliability/dependability.
  • Professional appearance and demeanor, with ability to exercise good judgement and discretion.
  • Excellent work ethic and time management skills, Meticulous attention to detail is essential.
  • College Graduate, a plus - High School Diploma or equivalent required
