Job Summary: The Client Intake Assistant oversees the data intake and maintenance process for all financial planning clients.
Duties/Responsibilities:
· Follow up on all assigned action items from client meeting minutes.
· Prepares and tracks all financial planning paperwork and compliance requirements throughout the planning process.
· Serves as a key contact for financial planning clients regarding data collection and follow-up.
· Works closely with the Client Intake Administrator to ensure all financial planning client data is accurate.
· Works closely with the Client Intake Administrator to ensure correspondence with financial planning clients is completed in a timely manner.
· Act as liaison for information sharing between financial planning clients outside advisors (accountants, attorneys, internal partners etc.)
· Maintains accurate case information and communication in Asana.
· Scan, copy and upload essential planning information into eMoney.
· Educate financial planning clients on setting up and maintaining their eMoney portal.
· Maintain financial planning clients connections within the eMoney portal.
· Performs clerical duties including typing and filing.
· Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, unibinder, and other standard office equipment.
· Answers phones, directs calls to appropriate individuals, and prepares messages.
· Process incoming mail and prepare outgoing mail.
· Maintains filing systems either manually or electronically.
Required Skills/Abilities:
· Excellent verbal and written communication skills.
· Excellent interpersonal and customer service skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Proficient with Microsoft Office Suite or related software.
Education, Experience, Credentials:
· High school diploma or equivalent required.
· Clerical experience preferred.
· NYLIFE Securities LLC Associated Person required.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
