Job Title: Client Service Associate
Reports to: Finance & Operations
Summary: The Client Service Associate is responsible for providing exceptional client service assistance to existing and prospective clients of Sonoma Wealth Advisors. The Client Service Associate is an active leader in not only their direct responsibilities, but all aspects of Sonoma Wealth Advisors operations. This position ensures that the Sonoma Wealth Advisors operations are efficient, collaborative, and follow the business’ core competencies. This position supports all levels of staff and is an integral part of business operations, data, proprietary information, and ensures that day-to-day operations are run in a professional and seamless manner.

General Responsibilities:
- Provide exceptional service to clients professionally and respond timely to regular inquires.
- Comply and learn all company technology platforms, procedures, and policies.
- Execute accurate data input into all company technology platforms.
- Able to answer client requests for account balances, money transfers, and new account creation.
- Support Advisors in client details, activities, concerns, or any other significant data to ensure optimum client service.
- Provide top-level of discretion related to client information, accounts, details, and company information.
- Help clients transfer funds and securities, along with issuing check as requested.
- Communicate effectively for absent paperwork or data, unpaid funds or the like to clients.
- Create new client files, profiles, and data records in all company platforms.
- Manage all client paperwork from creation to completion. Ability to organize, file and maintain pertinent client files.
- Support all administrative duties and staff to ensure a smooth office operation.
- Administrative support to Owners/Advisors to ensure exceptional client service.
- Provide general administrative support to the Advisors, Employees, and Outside Consultants as needed.
- Manage client documentation process including new client packets, money transfers, check deposits, and any other general client account management functions.
- Assist with compliance management as it relates to company compliance policies, maintenance, adherence, and execution.
Skills and Qualifications:
- Prior experience in a financial institution setting.
- Bachelor’s degree in finance or related field.
- Must have exceptional attention to detail
- Strong organizational and time management stills, ability to prioritize.
- Must be a self-starter and driven.
- Excellent communication and interpersonal skills
- Strong problem-solving skills and analytical abilities
- An enthusiastic personality with a genuine desire to interact with clients/customers and employees to offer outstanding customer service.
- Excellent computer skills and understanding of general office computer systems, emails and spreadsheets. Knowledge of Word, Excel, Google Mail a must.
- Excellent attention to detail.
- Must be able to stay calm under pressure.
- Flexibility of schedule is required during normal business hours (Monday-Friday, 9am to 5pm)
- Possess excellent verbal and written communication skills, be organized, creative and able to prioritize.
ESSENTIAL PHYSICAL REQUIREMENTS
The physical requirements listed are representative of those that must be met by an employee to successfully perform the essential functions and key responsibilities of this position.
The ability to work in a constant state of alertness and in a safe manner at all times. Frequent operation of computer and other office equipment, the ability to sit at a workstation for long periods of time, stand, walk, climb stairs, bend, lift, twist, pull, push, carry, grasp, reach and stoop as need, and to occasionally lift and carry items up to 40 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
WORK ENVIRONMENT
The noise level in the work environment is usually quiet to moderate. The employee works in an office environment. Work may request occasional weekend and/or evening work.
Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
