Job Summary

Under general supervision, provide commercial property lease administration, management and financial analysis to successfully maintain the profitability of properties in the company’s commercial real estate (CRE) portfolio while simultaneously enforcing lease terms and maximizing tenant satisfaction. Responsible for asset maintenance, lease administration, vendor contract management, tenant relations, legal compliance, financial management and project management. Assists and works closely with the company’s Chief Financial Officer, President/CEO, and Property Management & Development staff.


Unique Job Requirements

Requires a very high-level understanding of commercial real estate leasing and related transactions. Must be capable of deciphering leases, lease abstracts and amendments, contracts, laws, and other legal documents to determine owner and tenant obligations and enforce lease compliance. Must possess strong financial acumen and ability to develop and present financial reports. Requires expert written and verbal presentation skills, exceptional problem-solving skills, and excellent organizational skills. Requires strong interpersonal skills with the ability to work independently or within a team. Must be able to work under pressure, work on a variety of projects at once and be able to prioritize work effectively. Must maintain confidentiality. Requires frequent travel within approximately 50 miles and occasional out of state travel required. Work includes some weekends and evenings. May be required to work from both office and home, work flexible hours and travel as needed.


Key Responsibilities & Job Tasks


Maintain quality of commercial real estate assets and preserve capital by:

  • Physically visiting and inspecting each property, including out-of-state properties, on a routine basis, and performing, coordinating and ensuring all necessary follow-up on issues discovered.
  • Establishing best practices for ongoing maintenance procedures.
  • Scheduling and managing vendors to maintain appearance and function of assets in accordance with management directives, including preparation of scopes of work, requests for proposals and bid reviews.
  • Maintaining status as the primary point of contact on security and fire alarm calls on the properties at all times.

Effectively administer commercial real estate leases by:

  • Coordinating and managing commercial real estate files, lease files, tenant files, reporting and compliance systems.
  • Monitoring and managing lease expiration reports and renewals, rent increases, lessee insurance, and all aspects of lease compliance.
  • Calculating, coordinating, invoicing and monitoring lease payments.
  • Ensuring compliance with insurance coverage requirements.

Maintain tenant relations by:

  • Meet and visit with tenants routinely to discuss satisfaction with management and services.
  • Effectively resolving tenant issues at the properties.
  • Promptly identifying, documenting and addressing incidents and any environmental, health and safety issues.
  • Resolving various tenant billing issues including CAM reconciliations, direct expense billing and other leasing obligations that may affect tenant ledgers.

Ensure legal compliance of commercial properties and CRE-related activities by:

  • Maintaining asset code compliance (fire, ADA, Energy Star, etc.) on all properties.
  • Recommending improvements and/or compliance requirements to management while performing and maintaining basic compliance functions.
  • Performing and documenting physical inspections as required by management, regulatory agencies, insurance or financial institutions, for both local and out-of-state properties.
  • Preparing and delivering required notices and coordinating with legal counsel as necessary.

Provide financial management and analysis of CRE assets by:

  • Maintaining and regularly updating information on all properties.
  • Accurately reviewing and reconciling collected rents and recovery charges.
  • Reviewing and approving potential planned and unplanned expenses and/or vendor bids and ensuring that expenses are accounted for appropriately.
  • Analyzing, monitoring and providing regular reports on property activities and the CRE portfolio’s performance, including variance and budget analysis.
  • Benchmarking each property’s performance against similar properties and making strategic recommendations on asset strategies and capitalization.

Participate in capital improvement projects and asset development by:

  • Participating in development processes for existing commercial properties and new acquisition and partnership opportunities.
  • Managing investment transactions with brokers, outside legal counsel, and other third parties as necessary.
  • Marketing CRE properties for maximum occupancy and profitability.
  • Assisting with selection of tenants and development and execution of new leases.

  • Engage in special projects as the need arises.
  • Perform other duties as assigned.

Relationships (Internal)

All levels of Seaside Company employees. Works closely with executive staff and property development and management staff.


Relationships (External)

High level of contact with commercial real estate professionals, developers, management companies, commercial tenants and prospective tenants, contractors, municipalities, legal counsel, appraisers, lenders, consultants and business partners.


Qualifications: Training and Experience

At least three years of progressive responsibility in real estate development and/or financial projects or equivalent related professional experience; degree in Finance or Business Administration preferred but not required.

  • Ability to arrange for and complete travel to and from destinations out-of-state including lodging and vehicle rental; ability to keep all related records and complete expense reports.
  • Ability to read and decipher leases and vendor contracts.
  • Knowledge of principles and practices of property development and management.
  • Knowledge of the local commercial real estate environment.
  • Ability to enforce lease terms, rental agreements, and to ensure compliance with rules, policies and procedures.
  • Ability to keep complete and accurate records.
  • Ability to summarize and present complex data.
  • Ability to prepare and manage budgets.
  • Ability to speak effectively in front of groups.
  • Ability to demonstrate strong interpersonal skills; ability to communicate with clarity in a professional and friendly manner; ability to build rapport quickly within a diverse community.
  • Ability to work under pressure, handle and prioritize multiple tasks.
  • Ability to work independently and follow through on projects and tasks.
  • Ability to handle situations diplomatically.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Ability to use a computer.
  • Knowledge of common business software including the Microsoft Office Suite.

Licenses / Insurance

Possess and maintain a valid California U.S. Driver's License at the time of hire. Required to maintain automobile liability coverage with a minimum of $15,000.00 bodily injury one person/$30,000.00 bodily injury total accident/$5,000.00 property damage coverage per California’s minimum liability insurance requirements. (Required if the employee will at anytime use own vehicle to perform company business functions)
