Gootee Construction is a commercial mechanical construction and service company providing HVAC, plumbing, medical gas, and testing and balancing services across southeast Louisiana. Every member of our team is instrumental in creating and building healthier communities.

This Administrative Assistant position will be in a support and cross training role with current Office Administration and assist managers with their job tasks. The position will assist different departments within the company and with different areas such as project administration, office administration, HR, and accounting.

Education/Experience

  • Work experience in accounting and/or human resources in one or more functions is desirable
  • Work experience in the construction industry and understanding of project management is desirable
  • Strong written and verbal communication skills
  • Proficient computer and software skills and knowledge to include Microsoft Suite (Outlook, Word, Excel); Will be required to learn and work in ComputerEase, ServiceTrade, Omnidek, Align, Procore, Bluebeam and other various web portals.
  • Must be able to successfully pass a pre-employment criminal, driving and drug screen
  • Must possess a current and valid state driver’s license and a clean driving record

Administrative Duties

  • Serve as a backup to the Service Department Dispatcher and becoming proficient in ServiceTrade
  • Serve as a backup to the Office Administrator and Service Dispatcher for covering the front desk/phones
  • Assist Project Managers with filing contracts, filing permits, creating contracts and purchase orders, opening new projects and completing the new project setup, entering change orders and project budgets, creating operation and maintenance binders, and other typical construction job administrative tasks

Accounting Duties

  • Assist in accounts receivable by creating and sending monthly pay applications and weekly service invoices
  • Make weekly phone calls for accounts receivable collections
  • Assist with the weekly payroll process through timely data collection and accurate data entry

Human Resources Duties

  • Assist with new employee onboarding, recruitment, benefits administration, and training
  • Create new hire binders and welcome packets for new employees
  • Assist with processing of pre-employment drug screenings, new hire paperwork completion, and verification of Federal I-9 forms
  • Assist with employee engagement events and special/annual events
  • Assist with annual open enrollment processing.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour
