About the Position
The Court Administration Supervisor provides leadership, supervision and training for a large unit of Court Administration Assistants and paraprofessional staff who provide various judicial support functions to the Judicial Branch, as well as other criminal justice agencies and community members.

POSITION QUALIFICATIONS

Education:
  • Associate’s Degree in Business Administration, Public Administration or related field
Experience:
  • Three (3) years of court experience
  • Two (2) years of supervisory experience
OR
Combined education and experience qualifications:
  • An equivalent combination of education and job-related experience, substituted on a year-for-year basis as to years of court experience.

Our Preferred Candidate has:
  • Bachelor’s Degree in Justice Studies, Business Administration or related field.
  • Substantial customer service experience assisting a high-volume of customers.
  • Experience and/or education with court forms and court processes.
  • Completion of the Arizona Court Supervisor (ACS) program.
  • Minimum Accounting Standards (MAS)
Knowledge, skills, and abilities:
Knowledge of:
  • Court policies and procedures, legal terminology, and courtroom proceedings
  • Supervisory practices and principles
  • Customer-centric service model
  • Budgeting and accounting
Skill in:
  • Computer software such as iCIS, MS Office software such as Excel, Word and Outlook
  • Supervising and evaluating assigned staff, coordinating work of subordinates
  • Effective oral and written communications
  • Establishing working relationships with others
  • Decision making and conflict resolution
Ability to:
  • Multitask and cope with high volume and time critical work environment
ESSENTIAL JOB TASKS

  • Supervises the daily operation of the Customer Service, Protective Order Area, and the Information Desk.
  • Responsible for the daily schedule and timesheets of the AmeriCorps members and assists the Deputy Department Administrator (DDA) with program requirements and supervision of members.
  • Assists the DDA with the supervision and training of interns assigned to the department.
  • Responsible for the oversight and supervision of the Customer Service and Protective Order Areas.
  • Interview, hire/dismissal, ensure completion of mandated COJET training, evaluate performance of staff and develop performance management plans.
  • Establishes performance goals and objectives for annual performance evaluations.
  • Prepares internal and external management information reports regarding revenue, workload, caseload and service level trends; develops standardized procedures relating to report generation and data control.
  • Assists with problem resolution and facilitates training in court operations.
  • Answers difficult questions concerning departmental policies.
  • Conduct unit meetings on a regular basis with staff; attend department meetings and quarterly manager’s forum.
  • Responsible for monthly and quarterly audits of cash drawers at assigned location.
  • Prepare various communications to Judicial Officers and other court staff.
  • Assists with internal and external customers, resolving customer concerns. Investigates and responds to complex public complaints and requests for information or service in accordance with established policies and procedures.
  • Participate in committees/special projects and provide input to internal and external agencies.
  • Updates database information and prepares statistical reports.
  • Orders supplies for the Customer Service and Protective Order Area.
  • Position requires the ability to travel to other regional centers.
  • Provides regular onsite or in-person supervision to assess business needs by observation, by monitoring group dynamics with face-to-face interaction and through the use of body language/nonverbal communication, engages in interpersonal bonding, and models expected behaviors.

While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.
