Supervision Received: This position serves under the general supervision of the Director of Dining Services and functions independently while following university and department policies, procedures, missions, and goals.
Supervision Exercised: * Hires and supervises staff to include full time union staff, part time contract staff, part time student staff, and contracted or rental agency “day of event” staff * Ensures that mmbers of the staff always interact with guests in a courteous and professional manner with a service minded focus * Completes yearly reviews and consistently coaches the team to achieve operational excellence
General Statement of Duties:
Duties include: the sales, booking, execution, and after-action review for catering events and conferences/events; maximize university revenue opportunities by increasing the utilization of campus spaces and services during all times of the year; engage with both on campus and off campus constituencies to book catering, rooms, and event spaces from inquiry to post sales follow-up and drive repeat bookings; supervise catering staff and events for operational excellence Duties and Responsibilities: Duties include but are not limited to: Essential: * Engages with on campus and off campus clients to market University goods and services * Develops partnerships with on campus departments to ensure success of catering and conferences * Compares and analyzes the local and global market and competitors for services offered and innovation * Executes the business plan and marketing plan for catering and conferences & events * Innovates with new ideas to engage the local community and regional off campus partners * Maintains accurate records of costs and revenues for services as well as coordinates chargebacks for campus services * Consults with clients to plan and determine event requirements, including counts, venues, operational logistics, and food and beverage needs * Completes room reservations/contracts in EMS or similar software * Posts food and beverages charges in CaterTrax or similar software * Serves as primary owner of CaterTrax or similar catering software * Serves as secondary owner on EMS or similar software * Invoices clients according to university procedures * Engages with campus executive chef to validate menu, food costs, and innovation * Schedules staff for events using scheduling software (when to Work or Similar) to meet business demands and manages labor costs to adhere to budgetary goals * Manages events from consultation to contract to completion and constructive feedback * Oversees preparation of the venue for the event including but not limited to final adjustments to rooms, setups, tables, chairs, serving stations, lines, tableware, serve ware, linen, and silverware * Ensures the venues are clean and that food is handled in a sanitary manner * Addresses problems or complaints concerning food or services provided * Coordinates the planning of other aspects of events to include but not limited to rental equipment and supplies, tents, decorations, flowers, photographer, music, entertainment, etc. * Remain flexible in an ever-changing hospitality environment * Performs other related duties as required
