TITLE: DIRECTOR OF STUDENT ACTIVITIES


MINIMUM QUALIFICATIONS:

  • Masters Degree in Educational Administration or a related field such as Leadership, (preferably an emphasis in Athletics or Fine Arts Administration, Sports Management, or other comparable training).
  • Demonstrated preparation and experience and proficiency in the supervision, management and operations of student activities programs.
  • Demonstrated leadership, interactional and communication skills.

PRIMARY FUNCTION:


To provide leadership, direction, promotion, and oversite for all extra-curricular and co-curricular activities in the district. The director is responsible for ensuring compliance with federal, state, and district regulations, administering department resources and financial accounts in a fiscally responsible manner while building and sustaining a culture of excellence in student activities by promoting quality, participation (including multi-sport/multi-activity participation), sportsmanship, professionalism, and respect at all levels.


PHYSICAL REQUIREMENTS:

The usual and customary duties require the following physical demands:

  • Occasional lifting, carrying, pushing, and/or pulling, some climbing, some stooping, kneeling, crouching, and/or crawling.
  • Sitting (50%), walking (25%), and standing (25%).
  • The job is performed under possible temperature extremes and is generally in a hazard free environment.

PERFORMANCE RESPONSIBILITIES:


  • In cooperation with other school administrators, create, foster, and maintain a positive and inclusive activities program that engages the schools and community and promotes excellence.
  • Provide leadership for the district co-curricular and extracurricular activities, consistent with the goals and objectives of education as conceived by the Superintendent and Board of Education.
  • Provide positive leadership and effective communication, with the appropriate conflict resolution skills, with all staff and stakeholders associated with the school district and community groups.
  • Manages assigned program and/or departmental responsibilities (i.e. long range planning, tournament scheduling and management, game/event scheduling and management, conflict resolution, training services, facilities scheduling, fiscal management, personnel management and leadership, fundraising (including sports marketing), transportation scheduling, district coach education programming, and student leader/team captain development as well as coach and activity leadership development.
  • Provide appropriate oversight, evaluation and resource allocations for all activities, maintaining a balance between the emphasis on athletics and other school activities as well as providing an equal access of opportunity for girls and boys as well as underrepresented populations in the district.
  • Maintain an annual system of financial accounting for activities, including projections of gate receipts and proposed expenditures.
  • Conduct a program of external and internal communication and public relations to encourage recognition, support, participation, involvement, and the esprit de corps of students, activity staff, faculty, parents and other stakeholders of the school athletic and activity programs.
  • Compile data from a wide variety of sources including staff surveys, student surveys, public agencies, district partners, and other related individuals or groups for the purpose of analyzing issues, ensuring compliance with district policies and procedures, and monitoring program components of the district activities department for the purpose of informing the superintendent and principal(s) of the operations, challenges and progress of the program of student activities.
  • Perform personnel administrative and leadership functions such as but not limited to recruiting, hiring, orientation, counseling, training, supervising, evaluating, and providing professional development opportunities for coaches and activity leaders for the purpose of providing necessary staffing, enhancing staff quality and productivity, and ensuring department and district goals are achieved.
  • Collaborate with internal and external personnel such as building principals, the buildings and grounds department, activities leadership team, community parks and recreation department, public agencies, booster groups, club sports/activities, and other community groups for the purpose of facility management including facility rentals and service needs.
  • Arrange for athletic contracts and contest officials. Provide schedules, publicity, gate workers, bench workers, police security and crowd control as necessary for event management.
  • Check and report on student eligibility requirements and monitor the preparation of required athletic/activity reports.
  • Arrange for annual physical examinations of athletes.
  • Coordinate risk management, insurance, activity cards, etc. for activity programs and participants with program leaders.
  • Coordinate the inventory, storage and care of athletics equipment and supplies with the equipment manager.
  • Direct and coordinate the scheduling of all activity events within the school calendar.
  • Adjudicate all conduct violations associated with student activities in accordance with

Board of Education Policy.


  • Maintain an organizational process for all coaches/advisors/directors of student activities.
  • Promote a system of regular recognition and publicity of events and programs to the media.
  • Promote booster clubs/liaison work to coaches and directors.
  • Coordinate the purchase of equipment, uniforms, and supplies.
  • Coordinate athletic/activity travel arrangements, including meals and lodging.
  • Interpret and apply school board policy and related administrative regulations and directives along with the district activities conference(s) rules and regulations and the South Dakota High School Activities Association rules and policies associated with the activities department for the purpose of serving as a resource and providing overall leadership and coordination of all activities programs in the district.
  • Serve as meet manager/event coordinator whenever the Brookings School District serves as host for a conference or state level competitive events.
  • Provide communication with custodians – practice dates, regular contests, meets, etc. – with respect to the set-up and maintenance of facilities.
  • Supervise the recognition and awards policies, type of awards and ceremonies.
  • Coordinate with the Brookings Parks and Recreation Department, youth sports organizations, and club sports groups for the scheduling, organization and management of the intramural programs, open gyms, lessons and sports clinics conducted in school facilities.
  • Serve as liaison for community groups – SDSU Athletics Department, Brookings Convention and Visitors Bureau, booster organizations, youth sports organizations, club activities, and other community-based partners with the Brookings School District activities department.
  • Outside the class schedule, schedule facilities for school practices and contests as well as use by non-school groups, and report facility use.
  • Coordinate activity group travel with the director of transportation.
  • Communicate home events and travel both internally and externally on a weekly basis.
  • Collect and organize event information and create a school district calendar that minimizes conflicts for participants and spectators.
  • Manage the Brookings School District Sports Marketing Program including seeking and growing sponsorships, partnerships, and district relationships.
  • Participate in a variety of meetings including workshops, inter and intra-district committees, the cabinet team, seminars, conferences, school district compensation and study group committees as well as region, SDIAAA, SDHSCA and SDHSAA conferences and meeting as the official representative of the Brookings School District.
  • Coordinate the Advanced Athletics Placement process and committee.
  • Perform all other such duties as assigned by the Superintendent of Schools.

TERMS OF EMPLOYMENT:

  • Length of Contract: 260 Days

EVALUATION PROCEDURE:

This position is responsible to the Superintendent and the performance of this position will be evaluated by the Superintendent.
