About this role:

Wells Fargo is seeking an Executive Assistant for our CAO (Chief Administrative Officer) Technology executive.

This role will be based in Charlotte, NC. No other locations will be considered at this time.

This position will perform diverse, advanced, and confidential daily executive administrative support duties. As a result, this assistant interacts with other senior level Wells Fargo leaders and executives daily. This role is ideal for an individual who is highly organized, detail oriented, tech savvy and capable of managing multiple priorities.

The CAO Tech organization is part of COO Technology (TCOO) group and provides technology solutions and support for Data Solutions and Services (DSS), Corporate Properties, Corporate Security, Procurement and Resiliency.

In this role, you will:
  • Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
  • Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
  • Act as information source on group and company policies
  • Receive direction from supervisor and exercise judgement within defined parameters while developing understanding of the Administrative Support function
  • Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
  • Interact with external customers
  • Manage and categorize leader emails to address and keep track of emails that require follow up.
  • Prioritize work tasks, resolve issues and conflicts, and cope with ever changing priorities and unplanned tasks that often require very quick turnaround with accurate delivery and results.
  • Professionally represent the Executives in general to executive and senior leadership across Wells Fargo as well as external partners.
  • Coordinate staff meetings including obtaining agenda items, timely distribution of agenda, and starting conference line and Lync sessions.
  • Plan ahead for travel including working out timing, flights, hotels, transportation and other aspects of site visits.
  • Manage the expense reimbursement process, ensuring all receipts and bills are processed accurately.
  • Assist with onboarding FTE and Managed Resources, including equipment and correct systems and/or building access, if needed.
  • Find and implement new and better ways to help perform the operations of the business. Organize knowledge-sharing and other types of common methods and processes to help the greater team run efficiently.
  • Plan team events across multiple sites, to build cross-group culture and fun.
  • Update documents, reports, and/or group information posted on web sites.
  • Act as a proxy for group leader in Staff Management, Time Tracker, and other HR online tools.
  • Provides HR administration proxy which may include staff management, recruiting solutions, PTO tracking, annual compliance tracking, etc.
  • Handles all personnel and confidential company materials with sensitivity and discretion
Required Qualifications, US:
  • 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
  • Experience supporting senior level leaders/executives
  • Knowledge and understanding of conferencing technologies
  • Knowledge and understanding of maintaining and updating SharePoint team web content
  • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, and LiveMeeting) skills
  • Experience reviewing and preparing expense reports for leaders

  • A BS/BA degree or higher in business or management
