Summary of Job Duties:
The Executive Assistant III manages the day-to-day operations of the College of Pharmacy (COP) Dean’s Office and has an integral role in the activities of the college. S/He Serves as the primary support to the Dean and the Asst Dean of Administration and is a critical member of the administrative team of the COP. The position requires a high level of customer service (internal & external stakeholders), strong communication (non-verbal, verbal, & written), organization, and problem-solving skills, while maintaining confidentiality. The Dean’s office is a high-traffic area, with a diversity of visitors. The Executive Assistant must possess strong leadership skills and work well with others towards the accomplishment of the College’s goals through support of the Dean and project management.

Qualifications:
Minimum Qualifications
  • Bachelor's Degree in Business Administration or related field plus four (4) years of executive administrative experience or experience in a related field.
  • Must be proficient in Microsoft Office, including Outlook, Word, Excel, Workday or a similar general ledger system.
Preferred Qualifications:
  • Bachelor's Degree plus five (5) years of executive administrative experience
  • Professional writing experience and intermediate level in computer program proficiency with the ability to learn new technology quickly

Additional Information:
Responsibilities:
Primary Support
  • Provide high-level administrative support to the Dean of the College of Pharmacy, including but not limited to the following: maintaining Dean’s calendar, arranging, organizing, maintaining Dean’s travel, preparing correspondence and reports, communicating with stakeholders, scheduling meetings, , maintaining professional memberships and continuing education documentation, etc.
  • Facilitate meetings hosted by the Dean’s Office (i.e. Dean’s Executive Committee, Dean’s Advisory Board, COP Faculty Meetings, Promotion & Tenure Committee, and other meetings) which entails reserving space, preparing agendas and minutes, distributing and maintaining documentation, member voting, ordering food and communicating with attendees, etc.
  • Plan and coordinate special events hosted by the College, which entails reserving a location, preparing invitations and flyers, coordinate food and volunteers for events, set-up and tear-down, etc.
Donor and Alumni Support
  • Provide high level support to the Dean for activities related to donor and alumni relations.
  • Maintain correspondence and donor list for scholarships and other specialized endowment accounts for the College of Pharmacy.
  • Coordinate and support College development and alumni activities.
  • Work with Institutional Advancement to schedule routine meetings and participate in committee activities related to donor and alumni events.
Other Support
  • Facilitate recruitment and guest visits by making travel arrangements, providing transportation, organizing itineraries, and processing reimbursements.
  • Provide support to the Assistant Dean for Administration by following up with former students that are part of the ABOP rural scholarship/loan program to ensure that the forgiveness requirements have been met by the required deadline.
  • Process procurement requests. This includes, but is not limited to, maintaining the Dean's Office frameworks, ordering supplies, and maintaining vendor contracts for office equipment.
  • Process foundation account payments.
  • Maintain COP public folders & calendars, confidential files and correspondence.
  • Maintain inventory and asset records for the Dean’s office and coordinate inventory and asset records of all areas of the COP.
  • Process incoming mail, process incoming deposits for the Dean’s office, maintain the COP Organizational Chart.
  • Daily contact and communication with internal staff, students, other departments, visitors, alumni, and outside organizations
Other duties as assigned.
