Facilities Assistant II - Facilities & Maint Job at Orion Federal Credit Union
POSITION PURPOSE
Responsible for working closely with Facilities Manager in order to coordinate the extensive resources, timelines and budgets for all maintenance work and projects. Coordination of documentation, meetings, schedules, equipment and furnishings. Assist with budget tracking, vendor management and scope of work details. Coordinate all communications and collaboration requirements. Ultimately, the Facilities Assistant II duties are to ensure that all repairs are completed on time, within budget and to high quality standards.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
1. Works under limited supervision and interacts at multiple levels within the organization as well as with external vendors. This is a key player position allowing prompt responses to all requests for service.
2. Supports Facilities Manager with tactical planning and provides facility-specific information for completing goals and objectives.
3. Serves as backup Facilities contact in lieu of Facilities Manager in multiple facilities programs as well as for afterhours emergency calls; ability to respond to emergency calls as required.
4. Supports Facilities Manager with card access request needs; troubleshoot issues with badge access.
5. Monitors BAS system for critical alerts and coordinates appropriate response for each type of alert.
6. Oversees FMX work order system to include scheduling and problem resolution; responds as appropriate to prioritized work requests in conjunction with FM.
7. Inspects buildings and grounds for any possible repairs or safety issues.
8. Performs general maintenance and repairs such as troubleshooting HVAC; plumbing leaks, clogs and drainage issues; minor low voltage electrical repairs and lamp/ballast changes; basic carpentry; painting; and other jobs as requested.
9. Coordinate and document routine third-party inspections including fire extinguisher, backflow device, generator runs, etc.
10. Maintains inventory of supplies, parts and equipment with reorder as necessary.
11. Assists Facility Manager with coordinating and documenting emergency Facilities response for disaster situations (fire, flood, tornado, etc.).
12. Ability to complete small projects with minimal supervision. Obtain cost estimates and vendor proposals using department guidelines for approval by Facilities Manager.
13. Track expenses per project and timely reconcile invoicing for approval/payment by Facilities Manager.
14. Assist with preparation and coordination of annual maintenance budget.
15. Other related duties as assigned.
QUALIFICATIONS
EDUCATION REQUIRED
Requires valid driver’s license with clean driving record.
Bachelor’s degree in related field (or equivalent experience/ training) preferred.
EXPERIENCE REQUIRED
Entry level commercial maintenance experience; financial institution experience beneficial.
Minimum of 1-2 years of experience with work order system.
Must have the ability to dispatch work orders to appropriate vendors.
Prefer experience with C-Cure card access badging and ExacqVision camera systems.
SKILLS/ABILITIES
Ability to perform excellent research and due diligence.
Excellent time management.
Good organizational, written and oral communication skills.
Proficient with Microsoft Office products and related software applications.
Strong team player.
Ability to work successfully as a team player or independently.
Must be able to respond to after-hours emergency calls.
WORK ENVIRONMENT
Office environment with some travel to sites. Physical environment may require work both inside and outside in heat, cold, wet conditions; occasional noisy surroundings.

While performing the duties of this job, the employee is regularly required to sit at a desk and in meetings for long periods of time on a continuous basis; intermittently twist to reach equipment surrounding desk; perform simple grasping and fine manipulation with fingers; reach with hands and arms; use a telephone or other electronic communication devices; stand for long periods of times; communicate orally and through written means; use standard office equipment such as computers, printers; write or use a keyboard to perform assigned duties; climb ladders, bend, stoop, squat, climb, kneel, push, pull, reach overhead, reach forward, and twist; occasionally stand and/or walk over both even and uneven ground; occasional heavy lifting; hearing and vision within normal ranges with or without correction.
