ABOUT THE POSITION | Finance Admin Summary
Start Date: Immediate
Compensation: $25/hr, FTE at 40 hours weekly
The position requires an individual who can utilize various aspects of Quickbooks, as well as maintain necessary back up documentation in the company’s Monday.com project management software. Experience in MS Excel is a must.
This role is a very individualistic and detail-oriented role, with intrinsic motivation and accountability being key in success. The person hired for this role would directly support company’s controller, with occasional assistance to CFO and COO. In addition to financial related responsibilities, this individual would be responsible for maintaining organization and daily work flow in company’s office.
Individuals hired for this position would be required to work as a hybrid employee; 3 days in office (M/W/F), 2 days remote work (T/TH)
Financial Duties
- Assist controller by handling daily transactions of Quickbooks, to include categorizing bank and credit card transactions.
- Input client estimates into Quickbooks system
- Create Quickbooks project as projects become active
- Input client invoices into Quickbooks AR and update project management software with billed information
- Input new vendors and request proper W-9 documentation for preparation of year-end 1099 tracking
- Input vendor/subcontractor purchase orders and AP invoice
- Complete Quickbooks bank and credit card reconciliations
- Review receipts from project team in NYC and save/update receipt information with corresponding expense in Quickbooks
- Process payments on AP invoices as directed by controller
- Update internal project management records as project related revenues and expenses occur
- Create client-facing estimates and proposals as directed by controller
Office Duties
- Receipt and review of daily mail. Scanning necessary mail to controller for review
- Organization and storage of business related paperwork within office (payables, bank statements, etc.)
- Depositing incoming checks
- Retrieving checks and/or paperwork from client offices
- Receipt of incoming orders/deliveries, as coordinated with company’s project managers
- Answering incoming telephone calls
Qualifications/Requirements
- Quickbooks + MSFT Suite (Outlook, Word, Excel, Teams, Sharepoint) + Adobe
- Basic accounting principles
- Detail oriented, keen eye for detail
- Organization skills
- Can-do attitude, self-starter, resourceful
- Interested in continuing to build your skills (lifelong learner)
- Positive attitude, enthusiastic, sunny disposition
- Process-oriented, able to make recommendations for simpler or faster way to do things to optimize efficiency
