Front Office Receptionist/Office Management
- The receptionist/office manager role is often the first point of contact for our customers visiting the Marvin Design Gallery by Evanston Lumber. Because of this, he or she must present a welcoming yet professional first impression and be able to answer general questions while directing clients to the appropriate personnel. Primary responsibilities will include administrative work such as answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping/filing. The successful candidate will also be expected to help the company continue moving forward meeting objectives and ensuring customer satisfaction.
Duties and Responsibilities:
- The Receptionist/Office Manager will answer incoming calls in a cordial and professional manner, transferring calls to appropriate individuals
- Maintain call and visit logs.
- Ordering and Restocking office supplies.
- Assist in facilities support and upkeep of common areas.
- Scheduling and coordinating sales meetings.
- Inside sales support functions as needed.
- Manage, sort, and dispense incoming mail and packages, prepare outgoing mail, and shipping packages via FedEx, USPS, UPS.
- Report any pertinent issues that need addressing to the executive management team.
- Provide additional support for management as well as other team members and duties as needed.
- Scanning support documents into computerized project folders.
- Ensure that reception area and showroom are organized and presentable at all times.
- Organize catering setup/take down.
- Display a friendly, energetic, outgoing and personable demeanor.
- Identify opportunities for process and efficiency improvements in the office
- Other duties as assigned by supervisor(s).
Skills and Qualifications:
- Professional phone etiquette with knowledge of telephone equipment and basic programming.
- Basic computer skills, including Microsoft Office products.
- Must be a team player with ability to communicate with colleagues and clients
- 100% dedicated to customer service.
- Exceptional organizational skills required. Self-starters only, able to take projects to completion with minimal supervision.
- Ideal candidate should be hard working and self-motivated, with strong interpersonal skills.
Successful candidates will be eager to collaborate with others to provide an excellent customer experience. The person in this role is able to think fast, learn quickly, solve problems and ensure that visitors feel welcomed and cared for with every interaction.
- High school education required
- Minimum of 2 years receptionist, administrative, customer service experience
- Excellent communication skills with the ability to effectively interact with customers and employees
- Knowledge of general administrative procedures with intermediate skills utilizing computer software applications for word processing, spreadsheets, presentations, and database management (MS Word, Excel, PowerPoint, Outlook, and Internet)
Note - Successful candidate must pass pre-employment drug screening.
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
