Front Office Receptionist

TN Fireplace & Chimney is seeking a dynamic and friendly Customer Service Representative to join our team. As a Customer Service Representative and Front Office Receptionist, you will be the first point of contact for our customers, providing excellent service and ensuring their needs are met. Your responsibilities will include receiving incoming calls, booking appointments, dispatching and routing, providing customer service, and managing email leads. Proficient knowledge of Microsoft Office and Excel, as well as good phone etiquette, will be required.

Responsibilities:

  • Receive incoming calls in a professional and friendly manner, providing excellent customer service and addressing inquiries and concerns.
  • Book appointments for chimney services, coordinating with customers and technicians for efficient scheduling.
  • Assist with dispatching and routing technicians to customer locations for timely and efficient service delivery.
  • Provide customer service and quality calls, resolving issues or escalating to the appropriate department for resolution.
  • Follow up on email leads, responding promptly and professionally with accurate information.
  • Utilize Microsoft Office and Excel for efficient appointment and customer data management.
  • Demonstrate good phone etiquette, maintaining a courteous and professional tone during all interactions with customers.
  • Collaborate with team members and departments for seamless communication and coordination.
  • Uphold the company's core values of resilience, integrity, professionalism, and self-betterment, positively representing the brand at all times.

Qualifications:

  • High school diploma or equivalent.
  • Proven experience in customer service or a related field.
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.

Qualifications - Nice to Have:

  • Basic understanding of accounting or invoicing procedures for managing customer payments.
  • Ability to handle basic administrative tasks, such as filing, data entry, and document management.
  • Proactive and self-motivated attitude towards learning and improving customer service skills.
  • Willingness to work flexible hours, including evenings or weekends, as needed to accommodate customer appointments or business needs.
