POSITION SUMMARY

Back-office functions include supporting outside salespeople, administration and support of sales transactions including sales processing, logistics oversight, record maintenance, regulatory compliance, settlements, production planning, business reporting, and coordination of accounting/finance related to sales. Work requires substantial knowledge of items sold.

Essential Functions Statement(s)

· Follow up with internal and external counterparts regarding purchasing and selling of equipment, with payment terms, shipping terms, delivery, and warranty clearly defined and executed to complete the full business cycle.

· Maintain, update, and archive customer database, purchase orders, sales orders, and shipping documents, on a timely basis and based on company work processes.

· Facilitate sales managers in quoting providing product lead time, shipping methods, and other relevant information.

· Work with logistics vendors for international and domestic shipment arrangements.

· Review vendor’s invoices and work with accounting to make payments, code costs, and expenses.

· Work with the sales team to plan production based on pipelines, monitor, and update progression of production.

· Work with internal counterparts to collect drawings, estimates, and bids that meet specific customer needs.

· Generate regular sales reports for sales team’s performance and monitor for continuous improvement.

· Perform administrative duties, such as preparing sales budgets, maintaining sales records, managing sales tracking tools, and reporting on information.

· Obtain credit information for prospective customers and work with accounting in defining credit limit and payment terms.

· Prepare sales contracts, order forms, and other sales documents as needed.

· Work with industrial associations to submit sales data and collect industrial market reports.

· Arrange and direct delivery and installation of products and equipment.

· Prepare and provide any necessary data or materials to the sales team to facilitate daily sales activities.

· Pay attention to details, as customers may have the same problems, and report the problems as necessary.

· Update all contact information and maintain up-to-date business & tax documents for clients.

· Deal with any customer complaints and resolve the issues as necessary.

· Provide troubleshooting assistance for customer orders, account statuses, and relevant problems.

SKILLS & ABILITIES

Education: Associate's Degree (two year college or technical school) Required, Field of Study: Business related

Bachelor's Degree (four-year college) Preferred, Field of Study: Sales, Marketing or Business related

Experience: 3 plus years of experience in inside equipment sales

Computer Skills: Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, SharePoint
End-user ERP experience required and Microsoft Dynamics 365 Business Central/NAV a BIG plus

Other Requirements: Excellent written and verbal communication and basic math skills
