ESSENTIAL DUTIES AND RESPONSIBILITES:
- Review all travel needs from AIMS report, departmental requests, etc.
- Support Agents by answering questions and assisting where needed
- Cancel, void, or refund travel scheduled the previous day that has changed or is no longer needed.
- Book and ticket all travel required beginning with the earliest needs. Check CTC spreadsheets for exchanges prior to booking. Assign marketing codes for each reservation.
- Assess the need for refundable tickets (ID50) vs. nonrefundable tickets (exchangeable with fee)
- Research visa requirements for international travel through timatic.com. Verify who will be getting international visas for Omni crews, how they will be paid for and how to get pertinent information to visa providers.
- Verify hotel accommodations and ground transportation for Omni crews and associated travelers.
- Reconcile and verify Travel Department invoices (i.e. hotel, ground trans) and forward to accounting department.
- Furnish information, book, cancel, and void tickets as requested through company approved format.
- Additional duties as assigned by Directors and qualified managers.
WEEKLY DUTIES:
- Assess usage of tickets from previous week, voiding unused tickets no later than Monday 1400.
- Verify and review weekly TSI travel agency reports.
- Review monthly flight schedule and highlight potential challenges.
AS NEEDED
- Review and reconcile American Express bills.
- Works with Travel Director on process improvement and best practices
- Assign tasks to Travel Department staff for nights and weekends.
- Assist Travel Director in Negotiating agreements with suppliers (i.e. airlines, hotels, travel agency, etc)
