Marketing Proposal Coordinator Job at Lumos & Associates, Inc.
Lumos & Associates is currently seeking a Marketing Proposal Coordinator to develop proposals and statements of qualifications in response to requests for proposals or qualifications (RFPs/RFQs), as well as PowerPoint presentations, and other written and/or designed marketing materials for engineering services to meet requirements and deadlines of clients, primarily in public sector. In addition, you will help support and create collateral materials for business development activities and relationship marketers.
The ideal candidate will possess the following qualities and skills
- Strong graphic design skill and proficiency in Adobe Creative Suite (InDesign/Photoshop/Illustrator) required. Other graphics software experience is also desired (i.e., Canva).
- Ability to adapt to a deadline-driven, detail-oriented environment, with evolving priorities.
- Exceptional organizational skills, yet flexible; creative, but with excellent time and project management skills; and a team player with the ability to work independently.
- Excellent technical writing and public/client presentation capabilities as well as project and resource management skills.
- Excellent problem-solving and communication skills.
- Possess understanding of principles, practices, codes, and engineering standards.
- Possess knowledge of approval and permitting process for projects.
- Ability to work in a dynamic environment and conduct multi-tasking efforts.
Key Responsibilities
- Work closely with project managers/technical staff and other marketing staff to organize and manage layout, design and delivery of RFP/RFQ responses and presentations (including graphic design, editing, and development of spreadsheets, PowerPoints, etc.).
- Assist the team with winning new business by supporting the proposal development process.
- Developing, writing, editing, and proofreading content including proposals, presentations, project descriptions, staff resumes, and marketing collateral.
- Comply with Lumos & Associate brand standards to present a consistent appearance for all presentation graphics, proposals, resumes, and collateral materials.
- Manage multiple proposal efforts and teams simultaneously for and within diverse markets and service offerings.
- Ensure that marketing and visual presentation information and files are maintained and up-to-date.
- Maintain Client Relationship Manager (CRM) Database and assisting in lead tracking opportunities.
- Write and edit content for intranet, external website, social media platforms, award submittals, and other channels as needed
- Coordinate event-related needs such as registering conference attendees, reserving hotel room blocks, tracking RSVPs, ordering promotional giveaways, tracking deadlines, gathering information and images for the company website, researching and securing event venues, developing marketing materials, data entry, and other department activities, as needed.
- Support internal communications objectives.
Requirements
- Bachelor’s degree in Marketing communications, or related field OR equivalent combination of academic and professional experience, preferably in the A/E/C industry.
- A minimum of 2 years of experience with designing professional services, coordination responses to client requests for proposals and qualifications in the engineering field or other professional services field.
- Computer proficient with knowledge of Microsoft Office products (Word/Excel/Outlook/PowerPoint).
- Familiarity with content management systems (CMS) or client relationship management (CRM) tools.
- Aptitude for managing multiple, concurrent proposals from pre-advertisement through submission, working in a fast-paced, deadline-driven environment
- Ability to write clearly and succinctly with a high-level of accuracy, using proper grammar, spelling, and punctuation
- Professional interpersonal skills with the ability to work with colleagues at all levels of the organization
- Must be detail oriented and self-motivated.
