Overview
The Front Office Manager is responsible for overseeing the Front Desk teams (Bloomfield, Vernon and Rocky Hill). This is a practice leadership and management position and is therefore accountable for the highest level of performance and behavior. The Front Office Manager is responsible for overseeing all front office operations to ensure the initial patient entry into the practice is smooth, efficient and exceeds expectations. The Front Office Manager carry’s out all responsibilities in accordance with the company’s policies and applicable laws. The position may provide direct support to the Director of Business Development from time to time.
Position requires demonstrable eligibility to work in an environment that is receiving federal funding, i.e., Medicare, Medicaid as well as a license to provide health care by any appropriate State licensing authorities. Subsequent loss of license or other ineligibility to work in such an environment shall be grounds for immediate termination of employment.
Essential Duties/Responsibilities
- Oversee day-to-day operational activities of the Front Desk Departments in Bloomfield, Vernon and Rocky Hill, responsible for hiring and training.
- Perform as the subject matter expert for all front desk duties in an effort to drive policy and best practices – Important role in meeting the needs of our patients, improve upon patient experience.
- Greet patients, vendors and guests in a pleasant, friendly and professional manner. Be a role model for other staff
- Be responsive to patients requests and concerns
- Monitor and report up on activities of the Front Desk Team for efficiency and accuracy in the following ways:
- Customer service over the telephone and face to face with patients and colleagues
- Completion and update of all intake paperwork
- Accurate and complete collection of copays, outstanding balances and adherence to the Practices financial policy
- Scheduling in accordance with guidelines for each provider
- Task management within EMR – oversee the referral work queue's, pre-registration of patients, provider templates and schedules
- Ensure operational consistency in all offices
- All AONE policies
- Work alongside the Senior Front Office Manager and Director of Business Development to design, build and develop both departments
- Work with the Senior Front Office Manager to design and implement new employee training to ensure consistency and promote employee satisfaction; provide consistent re-training of existing employees
- Coordinate staffing needs with the Senior Front Office Manager and maintain appropriate staffing levels to meet the needs of the practice
- Communicate job expectations, performance metrics and standards and ensure all teammates are responsible for accomplishing the tasks set forth in their job description
- Design, train and promote customer service excellence in all areas of the front office
- Maintain current policies, and ensure all front desk operations are compliant with HIPAA and all other government regulations
Experience and Qualifications
- High School Diploma
- Two years medical office experience
- Position requires that you work in the front office
- Basic office skills to include strong computer skills
- Excellent communication skills and ability to deal with public in a professional, courteous manner
- Current knowledge of medical terminology and medical insurance requirements, including workers’ compensation
- Supervisory experience required
- Excellent organizational and time management skills

Physical Demands
- The employee must frequently sit for long periods of time managing phones, computer inquiries
