Job Description
Office Administrator – Alpha MOS, North America
Location: Alpha MOS, 802 Cromwell Park Drive, Suite A, Glen Burnie, MD 21061.
Job Description:
Administrate and support the overall office operations including the delivery of the business processes and services.
Administration:
- Answer incoming phone calls.
- Process incoming and outgoing mail.
- Liaise with office cleaning contractor as required.
- OSHA – provide point lead for the office and staff on OSHA regulations compliance and safety requirements.
- Liaise and co-ordinate with France office as required to maintain ISO:9000 certification.
- Ensure, with the General Manager, that all personnel have the appropriate Personal Protection
Equipment.
- Co-ordinate travel (flights, car rental, hotels) for General Manager, Laboratory Manager, Field Service Engineers and Sales Team as required.
- Manage office supplies inventory.
- Provide support to General Manager, Laboratory Manager, Field Service Engineers and Sales Team as required.
Financial & HR
- Maintain relationship with bank including depositing checks and other visits as required.
- Maintain relationship with clients including processing client’s PO’s, communicating Lead Times and Delivery Dates
- Manage general finance process including QuickBooks, spreadsheets, AP/AR and cash-flow metrics. The latter in conjunction with the General Manager.
- Maintain relationship with key partners including Alpha MOS France Accounting team, KVB and
Payroll.
- Supported by the General Manager, process and manage expenses, commissions, collections, invoices, and estimates.
- Maintain general HR process with the General Manager (hiring, onboarding, training, etc.), maintain relevant HR records and liaise with Alpha MOS France HR as required.
Orders and Shipping
- Co-ordinate shipping carriers with pick-up and delivery - FedEx, UPS, Customs and Clients
- Liaise with France on Internal Orders, Lead Times, Shipping and Delivery Dates
- Liaise with Clients on Purchase Orders, Lead Times, Shipping and Delivery Dates
- Support the General Manager and Sales Representatives with Internal Orders, shipping, client support and accounting processes.
Laboratory and Technicians
- Laboratory administration support, including Internal Orders, client support and invoicing.
- Support clients and Field Service Engineers with urgent requirements while Field Service
Engineers are at client’s sites.
- Liaison with Laboratory Manager and Field Service Engineers to manage Laboratory inventory including Internal Orders for replenishment.
Client Services
- Provide Clients with customer service in conjunction with Sales Team, Laboratory Manager and General Manager including processing quotes for Consumables, Service Agreements as required small instrument related parts.
General:
- Undertake any other administrative duties as required by the General Manager.
Job Type: Full-time
Pay: $17.85 - $21.50 per hour

Experience:
- Microsoft Office: 2 years (Preferred)
