We are seeking an innovative, enthusiastic, and dedicated individual to join our organization as the Office Manager on a permanent part-time capacity.

Largo Clean Energy (LCE), a subsidiary of Largo Inc., headquartered in Wilmington, MA and working to become a leader in long-duration energy storage. Position Purpose

The Office Manager is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

Responsibilities

  • Support the AVP, Operations with calendar management, scheduling appointments, travel coordination, and expense reporting.
  • Be the “go-to” person to assist other departments where needed. You will wear many hats and have a “get the job done” attitude.
  • Welcome visitors and direct them to their party as needed.
  • Source and manage vendors of office-related goods and services (e.g. stationery, coffee machines, office equipment) and monitor costs of each, making recommendations of different suppliers where relevant.
  • Manage office appearance, supplies and equipment.
  • Plan/organize and implement events such as meetings, conferences, training events, and business dinners.
  • Facilitate catering requests for scheduled lunches and meetings.
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Book travel for the organization when needed.
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Be a telephone system “super-user” ensuring phone lists are updated and distributed.
  • Manage corporate cell phone plan and monitor monthly costs and add-ons.
  • Enhance administrative processes by identifying improvements and implementing solutions that save time and improve accuracy.
  • Manage ad-hoc administrative requests, operative tasks within the office and special projects as needed.
  • Ensure that all staff are provided with the level of support required to keep the company growing and maintaining its strength.
Qualifications:
  • Degree in Administration, Business or Accounting
  • Minimum of 3 – 5 yrs of previous administrative management or clerical experience
  • Detail-oriented and able to multitask
  • Experience in event planning and project management is an asset
  • Strong MS Office Skills especially Word and Excel and other office technology
  • Comfortable working in a fast-paced environment
  • Strategic planning and business development skills

  • Office hours: 9:30 am to 3:00 pm
