The Operations Manager will serve as crucial support for Allergan Data Labs (ADL); this multifaceted position requires a candidate with excellent communications skills who can independently handle the procurement and operations functions. The Operations Manager will be responsible for the overall procurement activities and adherence to policies, procedures, and controls. He/she will be responsible for submitting and managing contracts request, resolving vendor payment disputes, managing interpersonal relationships and communication, and investigating/following up on vendor issues.

Responsibilities

Under the Operations Associate Director's supervision, the Operations Manager focus but not limited to:

  • Manage the enablement of SRM applications such as BuySmart, Snapp, Ariba and SAP
  • Submission of new contract request through Abbvie Buy Smart Tool
  • Review contract-related backup documentation to ensure completeness, accuracy, and compliance
  • Serve as the conduit with Business team, BuySmart Concierge & Procurement for the escalation and resolution of procure to pay operational issues
  • Document current and future state process flowcharts, documentation, and policies as necessary to support Procure to Pay for A-DL organization
  • Regularly update Business teams with contract status
  • Ensure user compliance to Sourcing and Purchasing Card policies, Guide to Buy Policies and procedures
  • Support Business Teams with an ad-hoc request
  • Lead, interface and confer with various cross functional, business stakeholders, groups, and individuals to meet requirements.
  • Manage implementation/deployment issues feedback and issue resolution
  • Function as a super-user to provide support and develop/deliver training on key procure to pay technologies and processes
  • Identify opportunities to enhance contract and purchase order process through best practice policies and procedures and lead implementation
  • Perform other duties instructed by the ADL Leadership
  • Cultivates relationships with a variety of cross-functional business units (Partners) including, but not limited to Procurement, BuySmart Concierge, Accounts Payable to improve end-to-end processes


Job Qualifications

  • A strong understanding of procurement processes and exhibits the capacity to effectively self-execute the transactional procurement process in accordance with established Company policies, procedures, standards and guidelines
  • Challenges status quo to develop innovative solutions to enhance the team’s quality and effectiveness

Minimum qualifications:

  • Procurement experience or understanding of the fundamentals of Procure to Pay
  • Exceptional attention to detail while prioritizing tasks, meeting deadlines, and staying organized
  • The ability to work efficiently both independently and in fast-paced, collaborative team environments
  • Ability to manage and prioritize requests, respond effectively to time-sensitive inquiries, and be proactive in the procurement process
  • Excellent verbal and written communication, personnel management skills and ability to establish and maintain good rapport with people at all levels of the organization
  • Strong problem-solving, multi-tasking, and analytical skill
  • Experience in providing procurement process training, guidance, and direction to the team
  • Ability to thrive under pressure
  • Expertise in Microsoft and Google suite of products

Preferred qualifications:

  • Bachelor's degree in marketing or a related field of study
  • 2+ years of experience in Procurement.
  • Previous experience in leading cross functional teams in complex activities that cross over departmental
