Job Summary:
An order entry specialist involves processing and managing customer orders, ensuring accurate and timely entry of order data into company systems, and working closely with customers, sales teams, and other departments to ensure customer satisfaction. Other responsibilities may include inventory management, processing returns and exchanges, resolving customer complaints, generating reports, conducting quality assurance checks, contributing to process improvements, and participating in cross-training activities.
Essential Functions/Responsibilities:
Receive customer orders: The order entry specialist is responsible for receiving customer orders through various channels such as phone, email, fax, or online platforms.
Verify order accuracy: The specialist must ensure that the orders are complete, accurate, and in compliance with established policies and procedures.
Enter order information: The specialist must enter the order information into the company's database or order management system.
Update order status: The specialist must update the order status regularly and communicate any changes to the customer.
Address customer inquiries: The specialist must address any customer inquiries or concerns regarding their order status or any other issues related to the order.
Collaborate with other departments: The specialist may need to collaborate with other departments, such as shipping or customer service, to ensure that orders are processed and fulfilled correctly.
Maintain records: The specialist must maintain accurate and up-to-date records of all orders and related transactions.
Assisting with inventory management: The specialist may be involved in tracking inventory levels and reporting on stock shortages or surpluses.
Processing returns and exchanges: The specialist may handle the processing of returns and exchanges, including issuing refunds or credits, and coordinating product replacements or repairs.
Resolving customer complaints: The specialist may work to resolve customer complaints, either on their own or in collaboration with other team members or supervisors.
Generating reports: The specialist may be responsible for generating regular reports on order status, inventory levels, or other key performance metrics.
Conducting quality assurance checks: The specialist may conduct regular quality assurance checks on orders to ensure that they meet established standards.
Contributing to process improvements: The specialist may be involved in identifying process improvements that can increase efficiency, improve accuracy, or enhance the customer experience.
Education/Experience:
3 years of relevant experience in order entry, data management, or customer service.
Education: A high school diploma or equivalent is required for this position.
Qualifications, Skills and Abilities Required:
Computer skills: Strong computer skills are essential for this position, including proficiency in data entry and order management software. Knowledge of Microsoft Office Suite and Google Suite desired.
Attention to detail: An order entry specialist must have excellent attention to detail to ensure that orders are processed accurately and completely.
Communication skills: Strong verbal and written communication skills are essential for this position, as the specialist must communicate with customers, colleagues, and other departments regularly.
Customer service skills: An order entry specialist must have exceptional customer service skills.
Time management skills: The specialist must be able to manage multiple tasks and deadlines efficiently, prioritize work, and work under pressure.
