Position: Part-time Executive Director to work with active volunteer board on management of small non-profit association.

Job Description for Executive Director

GENERAL FUNCTION:

  • Performs management duties in accordance with AAFCS-TX policies and procedures as established in bylaws and recommended by Board
  • Serves as liaison between members of AAFCS-TX, AAFCS-TX Student Section, Board of Directors, and AAFCS.

GENERAL DUTIES:

  • Assist all officers in carrying out their duties as outlined in the handbook.
  • Maintains permanent files of the Affiliate and submits copy to the Texas Tech archive.
  • Assists the President with correspondence with AAFCS and AAFCS-Texas membership.
  • Maintains records of AAFCS-TX Affiliate members.
  • Distributes minutes of all board meetings and committee communications as requested.
  • Carries out such activities as the board directs.
  • May represents the state affiliate at collaborative meetings which affect the profession and/or professional meetings of member groups of AAFCS-TX as deemed appropriate by the board.
  • Works with the Vice President of Professional Development-Elect to find possible locations and facilities for the annual state conference and presents details to the board for final approval.
  • Serves as the resource person in planning and conducting the annual state conference. Works closely with the Vice President-Professional Development and General Arrangements

Committee.

  • Conducts registration tasks for all meetings, which includes but is not limited to prepares electronic registration form in cooperation District Director or VP of Professional Development, collects registration forms, develop a registration list, and collects monies.
  • Expends monies as provided authorization by the budget and as further authorized by the

Board.

  • Renders a financial report in cooperation with the Treasurer at each regular meeting of the

AAFCS-TX Board, each annual state conference, and in the state conference newsletter.

  • Tracks association income and expenses in an accounting software program with sharable report features.
  • Makes arrangements for regularly scheduled and called Board meetings as directed by the

President.

  • Entering and maintaining financials in cooperation with the Treasurer.
  • Work with Present Elect to disseminate “The Action” newsletter electronically to all members.

SALARY AND COMPENSATION: $5175 annually (average 21 hours a month)
Travel outside the home city will be reimbursed at a rate set by the board for use of a personal auto and is paid for trips made for the association business. Expenses, not to exceed the Board budgeted amount, are paid for out-of-town trips including transportation, lodging, meals, and tips. Required travel includes the AAFCS Tx Affiliate annual meeting and Summer Board Meeting. Others may be required as needed, and approved by the board.

OFFICE EQUIPMENT, SUPPLIES AND ADDITIONAL EXPENSES
Money is budgeted for website management, office supplies, equipment, postage, printing and other expenses related to the job.

MISC REQUIREMENTS

  • Applicants must be familiar with the family and consumer sciences profession
  • Strong communication skills needed
  • Have financial management skills
  • Knowledge of non-profit organization management
  • Skills needed to master job description
  • A current member of AAFCS, Texas affiliate, preferred

ACCOUNTABILITY
The Executive Director shall be accountable:

  • To the President and the Executive Committee for the performance of assigned duties. The

Executive Committee and other designate officers are responsible for evaluating work performance and conduct an annual evaluation.
