Surgical Patient Care Coordinator

Reports to

Physicians and Practice Manager

General Purpose

The purpose of the Surgical Patient Care Coordinator position is to provide patient education, coordination, and scheduling for plastic surgery procedures. Assists physician and staff in coordinating patient care. Functions as primary liaison between patients, staff and physician. Key duties include developing rapport with clientele interested in learning about procedures that can make them look and feel better about themselves, cultivate and close sales leads, follow up with booked and uncommitted clientele, and complete important administrative tasks as part of the sales process.

Supervisory

This position has no supervisory responsibility.

Education and/or Experience

  • College Graduate with 5 years related experience in a patient consultation / sales role; or equivalent combination of education and experience. Experience in a medical office with a high focus on customer service, preferably in the plastic surgery, cosmetic / aesthetics field.

Business Acumen- Skills

  • Strong sales and lead cultivation
  • Advanced mathematical skills are required; advanced understanding of financing options available to patients.

Incumbent must be able to use the following equipment and software packages with proficiency:

✓ EMR / PM / POS

✓ Microsoft Office Suite (Advanced Skill Required)- Word, Excel, Outlook

✓ Constant Contact, or similar email / marketing tools

✓ Scanner, fax machine, copy machine, multiple phone line

✓ Internet applications and tools

Presentation/Attire- As the face of the practice, this position is held to a high standard of representing the practice and the industry and is required to dress in a polished and professional manner symbiotic with the cosmetic industry.

Essential Job Duties &Responsibilities

✓ Discusses cosmetic consultations and cosmetic procedures with prospective patients over the phone, via email and in person

✓ Prequalifies prospective patients and schedules cosmetic consultations​

✓ Meet with patient at time of consultation to discuss surgery, consultation with surgeon, answer questions, discuss concerns, develop quote for procedures, and discuss fees and financial policies with patient. Coordinate financing for patient as necessary.

▪ Presents before and after surgical pictures during consultation

▪ Discusses physician qualifications with each patient during consult

✓ Accompanies the surgeon while he/she is examining cosmetic patients, if a chaperone is needed

✓ Performs breast implant sizing and ordering; measures patient for surgical garments and orders in a timely fashion

✓ Schedules all surgeries—Coordinates with MA to ensure all pre-surgical processes are ready for surgery, and all consents are signed

✓ Collects surgical scheduling deposits and other payments; ensures that all cosmetic and fee balances are paid at least two weeks prior to surgery

✓ Conducts regular follow-up protocols for each patient

✓ Maintains the database of patients who have had surgery/procedure and who haven’t, and targets specific follow-up procedures to encourage booking

Secondary Job Responsibilities

✓ Backs up front office coordinator(s), when needed

✓ Admin tasks: Manages filing, scanning, shredding, faxing, copying, mailing, data entry, etc.

✓ Reviews and responds to all email, patient requests, and phone calls regularly throughout work day. Returns all phone calls by end of work-day.

✓ Ensures all information about cosmetic patients is entered into tracking or computer system accurately; generates as needed reports

✓ Calculates the practice’s Patient Acceptance Rate (PAR) of consultations to surgeries

✓ Pro-actively monitors patient schedule

✓ Soliciting written testimonials and soliciting patients who can be called on to talk to other patients about a surgical procedure.

✓ Provide feedback for the doctor(s) and Practice Manager regarding the result of promotional programs through an effective and efficient tracking system.

✓ Identify businesses within the community that would be good referral sources for the practice. Provide regular and routine contact, utilizing practice promotional materials.

✓ Post-surgical follow up, send thank you cards and or gifts

✓ Referral coordination, relationship management of referring physician and other business offices. Sends / delivers thank you gifts to referring offices.
