RiverBend Builder is seeking a Pre Construction Administrator/Office Manager. This would be a professional employee who is charged with expediting the pre-construction processes as a point of contact for customers and lenders. The PCA/OM is the customer’s primary point of contact during the
Pre-construction process. The PCA/OM role is “customer facing” and requires frequent interaction with clients in a patient, friendly manner.
Customer and lender details are consolidated and monitored daily ensuring all required documents are to our lenders. The Pre-Construction Administrator aids in completing the entire front-end process and recognizes the value in building and maintaining strong and lasting relationships with our customers and lender partners.
The PCA/OM ensures our customers experience timely communication and assistance in working toward their construction loan closing and starting their dream home.
The PCA/OM helps to complete permit paperwork, aids in scheduling potential customer meetings and customer meetings, and helps with selections. Their responsibilities include filing, answering the phone, running the front office, accepting all deliveries, and keeping up with all essential office tasks.
SPECIFIC RESPONSIBILITIES:
· Understands and promotes the principles of the Customer Experience and recognizes that an awesome experience requires an open line of communication and leg work.
· Exemplify and communicate the RiverBend Builder customer experience projecting a positive and well thought out attitude to all customers and employee interactions through all forms of communication
(written, verbal, non-verbal (body language) and appearance).
· Provides frequent communication with our clients in the Pre-Construction Pipeline
· Maintains the board with all under construction projects up to date
· Logs all customer interactions, meeting notes, inspections
· Facilitate post-sale meetings between RBB personnel and client – Color Selections/Plan Review
· Log Well and Septic requirements – follow-up on permit status as required
· Tracks job file progress through plan review and color selections and then to a permanent plan
· Send permanent plans to Office Administrator once all final reviews have been completed and current addendums have been added to plan
· Communicate with all banking contacts on a weekly basis to ensure we have accurate information as to their pipeline of clients
· Complete Bank documents
· Prepare building permit packages. Submit permit packages

WHAT YOU OFFER - PREREQUISITES FOR SUCCESS:
· People skills to articulately and professionally handle communication with prospects, customers, employees and vendors.
· Ability to exemplify and follow the Customer Experience processes.
· Organizational aptitude to manage the pre-construction job package routing and processing. Detail orientation to ensure accuracy of all sales contracts and prospect worksheets.
· Computer aptitude and willingness to learn to track customer activity list and to communicate via letters, etc.
