Summary:
The Procurement Contracts Administrator is responsible for supporting the Procurement Contracts Team throughout the contract management lifecycle. The Contracts Administrator will work closely with Contract Managers, Legal counsel, and cross-functional teams in connection with various matters and in compliance with Advisor Group contract management policies and procedures. The Contracts Administrator reports to the Senior Procurement Contracts Manager.
Responsibilities:
- Liaison between Procurement Contracts and internal and external parties during contract development, renewal, and termination
- Collaborates with team members and systems administrators to ensure business process training needs are met across the organization in a consistent manner
- Write termination notices and other communications as appropriate
- Ensure that contracts are executed in accordance with corporate guidelines
- Oversee contracts from conception to completion, with appropriate oversight and modifications during the life of the contract, as well as auditing, updating, and maintaining existing contracts
- Work with various internal departments to support the Contract Manager negotiations of contract terms and conditions and ensure contracts are consistent with the company’s terms, conditions, policies, and procedures
- Gain a solid understanding of Advisor Group’s business to effectively perform the responsibilities
- Identification, assessment, and management of risk-related areas in the contract management process, including supporting rigorous and effective risk management processes
- Subject matter expert on all contract management functions within the contract life cycle
- Team interaction promoting positive internal and external partner relationships
- Facilitate internal contract inquiries and resolve contract conflicts
- Collaboration with internal Legal personnel
- Contract repository housekeeping
- All other duties assigned
Education Requirements:
- Bachelor’s degree preferred, high school diploma (or equivalent) in combination with significant practical experience will be considered in lieu of degree. Minimum of high school diploma or equivalent is required.
Basic Requirements:
- At least 2 – 4 years of experience in a related area. Previous experience in a corporate setting with experience in contract administration
- Good understanding and extensive experience of contract administration processes and procedures from preparation to close out of contracts
- Must be a confident communicator with the level of engagement necessary to influence internal and external partners
- Strong written, verbal, and interpersonal communication skills
- Working knowledge of Microsoft Office (Excel, Word, and Outlook)
- Strong business acumen, leadership, organization, and time management skills
Preferred Requirements:
- Knowledge of terms and conditions in commercial contracts; familiarity with commercial contract law and principles; skilled at reviewing terms and conditions and identifying risk areas
- Advanced writing skills in drafting contracts and contract correspondence
- Assertive and strong interpersonal skills to effectively interact with suppliers/contractors and business associates including all levels of senior management; able to persuasively negotiate with suppliers/contractors while remaining positive and professional
- Ability to prioritize, manage various matters concurrently, work efficiently, and meet short deadlines in a fast-paced, challenging environment
- Ability to learn quickly, problem-solve and make persuasive arguments
- Ability to maintain high standards of service and satisfaction
- Develops and maintains excellent relationships with colleagues across business units to foster an effective cross-functional working environment and collaborative spirit
- Proactive communication with internal and external business partners at all levels and the ability to manage through influence when needed
