SUMMARY: The Program Assistant will provide program and administrative support to the Center at Sierra Health Foundation’s Program team, primarily the California Funders for Boys and Men of Color (CFBMoC), My Brother’s Keeper Sacramento, Positive Youth Justice Initiative and Building Hope and Healing – Youth Suicide Prevention Program as well as our fiscally sponsored projects. Our organization follows a hybrid work structure where employees work remotely two days a week and three days from the office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Support
Schedule appointments and internal and external meetings.
Arrange all necessary travel, expense reports, and travel reimbursement requests.
Work with program leads and program associate to ensure data in the grant management database, is accurate and up to date.
Coordinate with program leads to prioritize tasks, determine action, and respond.
Assist with the external contract-monitoring process, which includes processing contractor deliverables, monitoring invoices and initiating approval of deliverables.
Prepare materials and publications for internal and external distribution using
photocopier and/or scanning technology.
Provide overall administrative support for grants and contracts management including data entry and management, support for programmatic and funder reporting, tracking reports and documents and other related activities.
Tracking third party grants and partners applications and reports in high volume.
Participate in the grant application review process including assisting in reviewing grant applications, editing application project descriptions for input into the grantmaking online system, preparing reports for the grant determination meeting and participating in determination meetings with Program team members and other tasks as necessary.
Actively participate as a member of the Program team by attending program team meetings, foundation-wide meetings and collaborating with members across the Program team.
Receive and screen telephone calls, mails, e-mails and take messages for follow up.
Prepare monthly credit card transaction reports as assigned.
Organize and maintain program files.
Other duties as assigned.
Meeting and Event Coordination
Manage the logistics and preparation of materials for foundation-sponsored virtual and in person meetings and activities.
Coordinate mailings to invite and inform participants.
Work with outside vendors to secure rooms, food, and meeting details for external meetings and special events.
Support the preparation of event materials including agendas, PowerPoint presentations, handouts, registration materials and other document production, under the supervision of the Managing Director, Healthy Youth Development, CFBMoC Program Officer and My Brother’s Keeper Program Officer.
For in-house meetings, work with Conference Center and Facilities to prepare the conference rooms with the required seating and A/V equipment, assemble written materials, arrange catering and beverages, greet and check in guests, respond to any individual or group needs, and clear the room after the meeting has concluded.
Manage all aspects of web conferencing logistics in the event of virtual events.
Other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory duties.
QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE
Bachelor’s degree preferred, minimum of two years of college or equivalent required.
1-3 years program administrative support preferably in grant making, nonprofit or related institution.
Familiarity with public health, public policy, experience with place-based and or health equity work is desirable.
Experience with social media content creation support and dissemination.
Minimum of 1-year experience in youth development.
Knowledge and/or direct experience in California’s statewide organizing and advocacy efforts related to boys and men of color, juvenile/criminal justice reform, racial and health equity, and/or another related field.
Demonstrated commitment to achieving racial and health equity.
CERTIFICATES, LICENSES, REGULATIONS
Must have a current valid driver’s license and be insurable under the foundation’s insurance policy.
Must have a reliable vehicle to perform various in-field tasks.
LANGUAGE SKILLS
Excellent written and oral communication skills.
Ability to read and comprehend instructions, business correspondence and memos.
Ability to write routine business correspondence.
Must have the ability to effectively communicate with the public, both on the phone and in person.
COMPUTER SKILLS
Must be proficient in Windows, Microsoft Office, Outlook, database software, Adobe Acrobat, and internet use.
OTHER SKILLS AND ABILITIES
Requires a high level of interpersonal skills to handle sensitive and confidential situations and documentation.
Must have excellent organizational and project management skills.
Requires the ability to read and interpret documents including contracts and grants.
The work requires continual attention to detail in data entry and analysis of contracts, composing, typing and proofing materials, establishing priorities and meeting deadlines.
Must have knowledge of office administration procedures and the use of and operation of standard office equipment.
Must be able to work independently and within a team on special nonrecurring and ongoing projects.
Ability to learn and use cloud-based and ERP business systems.
Intermediate-level knowledge of Microsoft Office applications.

This is a full-time, exempt position with a hiring range between $24-$25.50 hourly.
