Job Description


The Opportunity

The Project Coordinator for the KIPP Texas Marketing, Communications, and Creative (MC2) team is a cross-functional role that supports the execution of projects and campaigns, delivering high-quality customer service while balancing production deadlines, workflow and client needs. In this position, you will process requests, determine production schedules to meet deadlines, assign tasks, monitor project/campaign progress and problem solve as needed. This is a nimble, highly organized role that will report to the Deputy Chief of Marketing, Communications, and Creative.

This work will take place across all four of the KIPP Texas regions: Austin, Dallas/Fort Worth, Houston, and San Antonio.

Key Responsibilities

  • Process briefs submitted by various departments throughout the organization
  • Determine appropriate project team, create production schedules and assign individual tasks through our web-based project management software, Workamajig
  • Monitor multiple project plans, update statuses, anticipate potential issues and course correct when necessary
  • Communicate potential problems and recommend solutions
  • Effectively communicate any updates and changes to project teams and client
  • Delegate tasks as necessary to ensure team members are working on most important projects at all times
  • Meet directly with clients, as needed
  • Attend recurring team meetings and ad hoc client meetings to note take, develop recaps, and ensure on time execution of deliverables
  • Track work and flow of deliverables
  • Liaise between various departments to ensure on time execution of deliverables
  • Track work and flow of deliverables
  • Oversee external vendors and contractors, including printing and mailing houses and freelancers
  • Identify opportunities to increase efficiencies
  • Prepare various reports
  • Maintain library of creative work
  • Work efficiently through quickly shifting priorities and high volume of projects while meeting tight deadlines
  • Support with team budgeting and invoicing
  • Other duties as assigned

Qualifications
  • Bachelor’s degree or equivalent
  • Minimum 3 years’ experience in a project coordinator role
  • Impeccable attention to detail
  • Experience using web-based project management software, Workamajig a huge plus
  • Excellent interpersonal, written, and verbal communication skills
  • Strong organizational, prioritization, and time management skills
  • Strategic and tactical thinker with the ability to prioritize what’s best for the organization
  • Superior problem-solving skills
  • Highly responsive and strong drive to provide excellent customer service
  • Ability to work in a fast-paced, ever-changing environment
  • Solid judgement and decision-making skills, elevating issues when appropriate
