This position supports the Project Manager and PMO Division in gathering equipment, resources and information to implement upcoming projects. The main duties include maintaining budgets and work schedules, organizing and participating in shareholder meetings and ensuring all deadlines for projects and programs are met.
Project Coordinators should be able to work closely with project managers to create comprehensive action plans concerning resources, budgets and timeframes for projects. Project Coordinator will also regularly schedule and attend meetings between stakeholders, vendors, employees and the Project Manager. Project coordinators will prepare the presentation items for the meetings and will share their meeting notes with the Project Manager.

Essential Functions
Project Process and Reporting
- Create, manage, update schedule of the project using Ms. Project
- Include resources allocation, timeframe, percentage completed
- Escalate issues that could impact the program/ project schedule
- Ensuring program/project deadlines are met.
- Budget tracker: monthly populate the resources allocation (hours worked) on the Program/project for the budget tracker
- Analyzing project schedule and resource impact on program
- Clear milestones and assignment of program/project task responsibilities
- Budget Tracker invoices and document pertinent information for external resources
- Gather internal allocations and update the PFW
- Maintain and update logs: Change Requests, RAID,
- Maintain and update project reports: Weekly Status, C-Suite, SteerCo,Vendor
- Collaborate with the PM to prepare presentation material for meetings.
Managing the Project/Program SharePoint Site
- Update main page with status report.
- Create new Decisions/ Risks / Issues
- Assessing program/project risks and issues and help facilitate team efforts to provide solutions where applicable.
- Documenting and following up on important actions and decisions from meetings
- Store approvals, Invoices
- Store processes information
- Ensuring program/projects adhere to frameworks and all documentation is maintained appropriately for each project
- Conducting self-audits of required project/program artifacts
- Tracking stage-gate criteria throughout SDLC
- Collaborate with PM while finalizing transition to support documentation.
Project Administration
- Facilitate meetings, capture meetings with the program/project manager
- With the Program/Project manager prepare materials meetings, capture any decisions and actions items, distribute the meeting minutes if required
- Coordinate stand up/ status meeting (if required)
- Capture with the Program/Project Manager any decisions, action items from leadership meeting
- Support the program/ project manager to elaborate the steer co, c-suite presentation
- Organizing, attending, participating in, and documenting stakeholder meetings
- Coordinating efforts with partner divisions
MINUMAL QUALIFICATIONS
- Good communication and interpersonal skills capable of maintaining strong relationships
- Strong organizational and multi-tasking skills
- Excellent analytical and problem solving abilities
- Documentation management and ability to use project management tools
- Attention to details
- Time management skills with the ability to meet deadlines
PREFERRED QUALIFICATIONS
- Applicable job experience coordinating projects and program in complex environments.
- Bachelor's degree in related field or the equivalent in training/experience
