The Office of Graduate Education (OGE) at the Fred Hutchinson Cancer Center is seeking a full-time Project Coordinator to assist with providing compliant and effective administrative support for Fred Hutch graduate programs and training grants. Responsibilities:

The Office of Graduate Education (OGE) at the Fred Hutchinson Cancer Center is seeking a full-time Project Coordinator to assist with providing compliant and effective administrative support for Fred Hutch graduate programs and training grants.
Administrative and Event Coordination
- Coordinate business administration financial and transaction support (on- and off-boarding, processing payroll, tuition, and insurance) for graduate student employment, partnering with administrators across all Fred Hutch Scientific Divisions, Human Resources, the Office of Sponsored Research, and University of Washington departments and programs.
- Organize graduate student programming: recruitment, orientation, seminars, and other regular activities, including managing volunteers and event planning.
- Assist with the preparation of biannual Fred Hutch accreditation application with Washington Student Achievement Council.
- Perform administrative responsibilities including scheduling meetings, seminars, conference rooms and auditorium reservations; processing travel reimbursements, honorariums, credit card reconciliation, and check requests.
- Coordinate Fred Hutch graduate courses, including updating course catalogues and flyers, reserving classrooms, facilitating add codes and course evaluations.
- Track charges and monitor budgets, interacting with Accounting and Finance.
- In coordination with HR, arrange travel, logistics and material shipments for Fred Hutch participation in outside educational national conferences (~4 annually); participate in booth representation when needed.
- Update and maintain the graduate student program websites (internal and external).
- Develop, recommend, and implement policies and procedures related to program administration.
Data Coordination
- Coordinate data collection efforts for the Coalition for Next Generation Sciences efforts.
- In collaboration with the Program Manager and training grant administrators, assist with the data collection for new, competing and non-competing training grant applications and renewals.
- Develop and maintain internal data tracking and databases.
- Other tasks as assigned.
Required

- Bachelor’s degree in a related field is required
- Minimum of one year post-master's or three years post bachelor's degree project coordination experience in a research setting is required
- Proficiency with Microsoft Office/Adobe
- Working knowledge of Excel formulas and functions
- Experience planning workshops and events
- Knowledge/prior experience with Enterprise Software Systems
- Ability to source data from systems and generate customized reports
- Ability to tailor communications to specific audiences
- Ability to navigate complex internal systems and departments
- Ability to remain calm under pressure and maintain a customer-service mindset
- Ability and willingness to work irregular hours on rare occasion, including some evenings and one Saturday in September
- Basic budgetary knowledge (ability to reconcile, report budget information, etc.)
Preferred
- Ability to edit SharePoint sites and basic webpages
- Knowledge of Fred Hutch funding rules and policies
- Experience with Airtable or similar project management and collaboration software
- Experience with Workday system or other HRIS systems

The hourly pay range for this position is from $29.42 to $44.11 and pay offered will be based on experience and qualifications.
