Project Manager
Position Description
An engineering contractor performing both public and private work throughout Northern California whose main office is located in Petaluma has an immediate opening for a highly motivated, very detail-oriented Project Manager.
Candidate must be extremely professional, willing to accept direction, and quick to learn new things. Must have outstanding customer service skills and be very detail oriented. Applicant must demonstrate solid verbal, written and presentation and organizational skills and multi-tasking ability. Candidate must be energetic and accurate in a fast-paced environment.
Must be comfortable working in a small office/team environment with office dogs.
Position Purpose:
The Project Manager is responsible for ensuring the timely and costly completion of construction projects by overseeing all phases of the project. This entails working with a variety of stakeholders to schedule and plan work, coordinate equipment and materials, operate within budget, and monitor overall progress. This role reports directly to the General Manager.
Essential Job Functions:
- Determine and defines the scope of the work for construction projects with the estimating staff to ensure the project is executed as bid. Sets production goals for items of work and reviews assignment of material purchases, and listed subcontractor work.
- Predict resources needed to complete the projects by issuing purchase order agreements, work authorization orders, and subcontract agreements, as well as coordinating with superintendents, supervisor, and dispatch for labor requirements with attention to budgetary requirements.
- Obtain necessary permits, approvals, and other regulatory requirements related to the needs of the construction project (encroachment permits, USA Dig notifications, OSHA, Confined Space, SMART Railroad Training, etc).
- Manage costs in order to meet budget. Review and approve costs daily including the management of field timecards, and project invoices.
- Provide direction over contracts and subcontracts. Issue change orders and amendments to existing vendors/subcontractors based on responses to submittals, changes in the scope of work, and responses to requests for information.
- Assist with fostering positive relationships with vendors and subcontractors through open communication. Communicates modified terms in payment to General Manager and Controller for approval.
- Manage construction schedules and activities. Coordinates with staff, clients, vendors, and subcontractors to make sure project activities are timely completed. Ensures long-lead time items are scheduled in advance and communicates the construction schedule with subcontractors to design mutually agreeable schedules. Requests additional days as needed due to delays (inclement weather, unforeseeable changes in scope of work, etc). Reviews weekly statement of working days for accuracy and manages any potential conflict in scheduling.
- Issue progress updates as needed regarding costs and timelines. Provides initial baseline schedule to key stakeholders and updates the schedule as needed.
- Ensure work is done in compliance with relevant standards and safety codes including Cal-OSHA, SMART, Confined Space, Caltrans Standards, and all local, State, and Federal standards and regulations. Documents and reports any issues to the President and General Manager.
- Coordinate efforts across entire project between architects, designers, engineers, and subcontractors. Negotiates conflict resolution as needed with the oversight of the General Manager (initial notice of potential claims, claims, etc.).
- Supervise the work of field staff and give them guidance when needed.
- Evaluate progress and prepare detailed reports. Update and track quantities for discussion in weekly production meetings. Maintain adjustments to estimated cost of completion and contract value through budget modifications in accordance with the company’s protocols.
- Works with the General Manager and Controller to provide accurate information regarding the contracts’ cost and revenue for Works-in-Progress Schedules, and project forecasting.
- Handle any environmental or local community issues that may come up during a project (resident concerns, SWPPP compliance, etc).
- Conduct site checks to monitor progress and quality standards.
- Manages billings to clients by collecting data, verifying field measurements, and negotiating with key stakeholders to ensure timely billing to adequately cover costs and assist in cash flow.
- Effectively delegates and manages tasks as needed.
- Performs other duties as assigned by the General Manager or President.
Essential Physical Functions:
The incumbent must be able to talk and hear over the phone, and in person. Extended sitting and use of hands and fingers for keyboard work is required. The incumbent will occasionally stand, walk, reach, balance, climb, stoop, kneel, crouch or crawl. Vision abilities require driving, as well as close reading. Lifting and carrying is occasionally up to 50 pounds. The incumbent is occasionally exposed to wet conditions, cleaning chemicals, fumes, gases, odors, and bodily fluids. The incumbent must be able to see well and distinguish between back-up alarms, voices, and other normal sounds consistent with construction job sites. Information regarding hazardous chemicals in the workplace is available.
Essential Mental Functions:
The incumbent works in a busy clinical environment with frequent interruptions and limited quiet time. Incumbent must sustain concentration, follow a set of procedures and organize own work. Some of the work requires precise detail and adherence to project deadlines.
Knowledge, Skills, and Abilities:
- High school diploma required; Bachelor’s degree in building construction, construction workeragement, or civil engineering preferred.
- 5 or more years in heavy civil engineering construction experience required.
- Ability to read and comprehend blueprints, project drawings, plans and specifications
- High degree of familiarity with contract and subcontract documents, terms, and conditions
- Strong leadership and management skills to coordinate team efforts including the direct oversight of supervisor, interns, and subcontractors
- Excellent customer service and communication skills (listening, interpersonal, oral, and written).
- Proficient writing, editing and proofreading skills with the ability to gather and organize information appropriately.
- Excellent ability to prioritize, organize and manage multiple competing assignments and responsibilities.
- Intermediate proficiency with Microsoft Office (Outlook, Word, Excel), and the ability to effectively utilize proprietary software.
- Excellent interpersonal skills with the ability to work well in a team environment. Ability to develop and maintain good working relationships with co-workers.
- High level of personal and professional integrity and ethics.
- Must be able to deal effectively with confrontational situations and maintain objectivity in public relations
- Willing to accept direction, and quick to learn new tasks.
- High attention to detail and accuracy
- Bilingual in Spanish is a PLUS
