Assistant Property Manager
Overview
The Assistant Property Manager is under the general supervision of the Property Manager. The major areas of responsibility include assisting the Property Manager or Regional Property Manager in maintaining the physical asset and maximizing the financial returns in accordance with the owner’s objectives. The Assistant Property Manager is responsible for assisting the Property Manager with the day-to-day operations of the property. In the Property Manager’s absence, supervises and schedules maintenance and on-site personnel. Works with property manager, administrative division staff, staff members of other developments, outside vendors and service providers.
Location: Bourbon IN

Schedule: 12 hours per week; 3 days at 4 hour shifts

Essential Functions and Responsibilities
  • Monitors resident activities for compliance with lease terms and applicable security requirements; promulgates and enforces building operating regulations including use of community room and other common areas.
  • Conducts required periodic inspections of common areas, buildings, units and associated grounds and preparing a written report at least monthly; initiates action to correct janitorial and maintenance deficiencies noted during these inspections. Also inspects safety hazards, resident abuse of common areas, landscape needs, curb appeal, signage, etc.
  • Fields phone calls and resident complaints. Directs appropriate messages/issues to Site Manager.
  • Assist with preparation of resident move in/move out notices, as well as performs move-in and move-out inspection including:
  • Moving Day coordination: cleaning, punch-list and follow-up, and demonstrating a high degree of “Hospitality and Welcoming”.
  • Emergency Procedures.
  • Rent Collection Standards.
  • Maintenance/service request procedures, service charges and billing procedures.
  • Introduction of building staff and related providers.
  • Assist Site Manager with Move out paperwork, security deposits refunds, resident invoicing and bad debt collections tracking.
  • Oversight of “Make-Ready Board.”
  • Monitoring of work order system and completed work orders.
  • Reviews and performs follow-up calls on completed work orders for timeliness and customer satisfaction, including follow-up with resident.
  • Assist Site Manager with bank deposits as necessary.
  • Preparation of late notices and termination notice for non-payment of rent with approval of Community Manager.
  • Greets walk-in traffic and serves individual whether it is paying rent, reporting a work order, signing paperwork, completing an application, etc.
  • Sends invoices/letter to residents for work done to their units as a result of the resident’s negligence with the prior approval of the Site Manager.
  • Assist with drafting lease violation and eviction notices, as well as all other resident correspondence with Community Manager and RPM approval prior to issuance.
  • Constant follow-up with those residents who are “in process” of paperwork for leasing in conjunction with other Assistant Community Manager. For those residents who have committed to leasing, ensure that all paperwork is always completed and lease file in order.
  • Administrative duties as necessary and instructed by Community Manager and Property Manager.
  • Assist with preparation of resident move in files and lease renewal leases.
  • Assist with preparation of monthly newsletter.
  • Responsible for Accounts Payable upload and distribution into accounting system.
Qualifications/Requirements
  • A high school diploma or the equivalent is required.
  • Strong organizational, interpersonal and customer service skills required.
  • Office and computer experience is preferred.
  • Fair Housing training to be completed within 90 days of hire and annually thereafter.
