GENERAL DESCRIPTION:

Serves the agency by greeting, welcoming, and directing guests and phone calls appropriately; notifies company personnel of visitor arrival or routes calls appropriately; contributes to overall office efforts; assists with emergency drills and evacuations.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES:

Detail oriented with excellent communication, listening and phone skills; demonstrates high level customer service skills; multitasking and works well under pressure. Must be able to assist during emergency evacuations and have professional appearance and demeanor.

ILLUSTRATIVE EXAMPLES OF WORK:

  • Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries.
  • Maintains agency telephone directory and utilizes overhead paging system.
  • Maintains agency/visitor security by following procedures, monitoring visitor logbook, issuing visitor badges, and assisting in emergency evacuations.
  • Maintains telecommunication system by following manufacturer's instructions for switchboard console, notifying Assistant Director immediately of issues.
  • Mail handling, including distributing/routing outgoing and interoffice mail.
  • Maintains safe and clean reception area.
  • Maintains adequate supplies, notifying appropriate program/department or Assistant Director when additional supplies are needed.
  • Provides training for covering receptionists on appropriate switchboard policies and procedure, as well as agency evacuation procedures.
  • Performs general office duties to include but not limited to; photocopying, faxing, alphabetizing, and filing.
  • Data entry on Medisked system and use of Microsoft Office including daily attendance support,
  • Maintains up-to-date Procedure manual, updating accordingly.
  • Contributes to overall administrative team efforts.

MINIMUM REQUIREMENTS

  • High School diploma or GED
  • Must have previous experience as a receptionist or in customer service field
  • Microsoft Office skills required.

Job Type: Full-time

Pay: $20.49 per hour

  • 8 hour shift
