General Description

The Railroad Commission of Texas seeks an Administrative Assistant to provide a high volume of highly complex (senior-level) administrative support and customer services work for the Surface Mining and Reclamation Division. This position will provide an opportunity to work with coal and uranium mines in the State of Texas alongside a team of dedicated administrative and technical staff of various professional backgrounds. The ideal candidate enjoys learning, working as a team under pressure to meet statutory deadlines, assisting in helping the division excel in all areas, is friendly, professional, dependable, detail oriented, and enjoys advanced problem solving. This position will perform other advanced clerical tasks as needed; communicate with internal staff and external individuals in a wide array of matters concerning the applicable rules and procedures. Works under general supervision, with occasional limited latitude for the use of initiative and independent judgment. This is an office-based position.



Essential Job Duties

  • Answer incoming calls for the divisions main phone line and refers callers to the appropriate personnel.
  • Performs all work with high accuracy while working under pressure to meet deadlines.
  • Use high accuracy and multitasking skills to combine correspondence, collate, mail, email, and distribute correspondence internally and externally.
  • Facilitate distribution of all incoming and outgoing time sensitive correspondence.
  • Format, finalize and archive complex memoranda, letters, technical analysis documents, and inspector reports for staff.
  • Transmit documents for signatures through DocuSign.
  • Assist section manager with data entry in the Surface Mining Permitting and Inspection project tracking database.
  • Process mail merges.
  • Work closely with and backup the division Records department.
  • Assist the Division Director’s Executive Assistant, when needed.
  • Perform additional related essential tasks as assigned, to maintain workflow.
  • Effectively communicate and work as a team to meet goals and deadlines.

Position may require some travel.

Qualifications


Minimum Qualifications

  • High school diploma or GED.
  • Four years of progressively responsible experience in business office practices and procedures.
  • Proficient with Microsoft Word and Excel
  • Advanced experience in processing correspondence and tasks in a detailed and time sensitive manner.
  • Attention to detail and perform with a high level of accuracy.
  • Excellent verbal and written communication skills, and team oriented.
  • Professional office administrative and customer service experience.
  • Must live in the Austin area.
  • Must be willing to work 8AM-5PM, Monday through Friday in the office
  • Valid Texas Drivers License and good driving record.

Preferred Qualifications

  • Knowledge of Railroad Commission of Texas rules and regulations.
  • Knowledge of state regulatory or business office practices and administrative procedures.
  • Proficient and advanced experience with MS Word, Adobe Pro, and Outlook.

Knowledge, Skills, and Abilities

  • Working knowledge of high-school level mathematics and business writing.
  • Working knowledge of a telephone switchboard or console.
  • Knowledge and ability to follow professional protocol.
  • Maintain a high level of accuracy and attention to detail.
  • Advanced skills to operate a Windows-based computer
  • Advance skills in Microsoft Office (Word, Excel, Outlook), and other databases.
  • Skilled in effective use of grammar, spelling, reading, and comprehension.
  • Skills in operating standard office equipment.
  • Skills in organizing files and information with high level of accuracy.
  • Ability to accurately file documents, retrieve and pack files.
  • Ability to follow processes, procedures, and adapt to change

Work Hours and Telework: Standard office hours for Commission employees are 8:00 a.m. to 5:00 p.m., Monday through Friday. Our agency offers alternate schedules for employees, as long as it does not adversely affect operations and service levels, and standard hours of operation are maintained. The Commission may also offer telework based on the agency’s approved Telework Plan. Alternate work schedules and telework may be discussed with the hiring manager during the interview process.
