JOB DESCRIPTION

Job Title: Senior AP/AR Associate

Department: Finance

FLSA: Exempt

Location: Yonkers, NY

Reports to: AP/AR Coordinator

SALARY: $55,000.00-$65,000.00


SUMMARY:
Lead support to the AP/AR Coordinator in all accounts payable activities for all companies, provide backup support for the daily cash deposits and postings function, and provides supervision to accounts payable clerks in efficient administration of daily accounts payable entry and payment activities.

DUTIES AND RESPONSIBILITIES:

  • Works closely with the AP/AR Coordinator to establish the monthly calendar and ensure payments and processes are completed timely.
  • Responsible for ensuring compliance with all accounts payable procedures including invoice approval, purchase order system, credit card use, metro card purchases, travel reimbursements and petty cash. Coordinate with the purchasing coordinator and make suggestions for modifications as necessary.
  • Responsible for daily operation of the accounts payable process, working together with the accounts payable clerks. Ensures accuracy of coding and proper approvals and purchase orders for all invoice entry. Primary responsibility for new vendor setup and insurance requirements.
  • Responsible for responding to all vendor inquiries via telephone or email. Communicate internally with appropriate staff to resolve invoice discrepancy. Ensure that outstanding invoices are paid or credit memos are issued and applied to vendor account.
  • Responsible to ensure that master schedules of utility vendors, including Con Ed, Verizon, water and sewer and other utilities are up to date. Ensure that master schedules of significant expenses are regularly maintained and investigate significant variances and report to AP/AR Coordinator for action.
  • Provide support to the AP/AR Coordinator with all ACH payments and maintenance of vendor bank information. Handle monthly rent program entry and payment processing. Oversee the processing of electronic payments of utility vendors in accordance with written procedures.
  • Support the AP/AR Coordinator as necessary with the monthly posting and closing of the accounts payable system, ensuring that the subsidiary ledger agrees to the general ledger account, support year-end reporting of 1099s, support with yearend and periodic audit requirements and with annual permanent record keeping.
  • Support the Accounts Receivable Clerks with the scanning of daily deposits into the bank and data entry of deposits into the system if coverage is needed.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE REQUIRED:

Associates Degree in finance or business administration required, Bachelor Degree preferred. Minimum of five years of related work experience. Fund accounting or real estate management experience is desirable but not required. Must have good Excel skills, strong organizational skills with an attention to detail, and excellent interpersonal, verbal and written communication skills.
