The Senior Administrative Assistant will report to the Executive Vice President of Davidson Resorts and SVP of Sales & Revenue in this position and will be responsible for assisting with daily business activities, completing administrative tasks, and helping to oversee successful completion of projects ensuring that operational needs are met. Davidson’s Hotels and Resort’s Operations/Sales Team leads high profile and high impact strategic projects to create and maximize value for the organization and hotel owners.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

What you will do every day..
The core responsibilities for the Senior Administrative Assistant, Hotels and Resorts Operations and Revenue include but are not limited to:
  • Setup and maintain operations team shared calendar.
  • Assist SVP, RVP, AVP, VP Sales along with EVP and SVP Sales/Revenue with calendar management.
  • Update property visit files for EVP and SVP and operations team.
  • Maintain accurate records, files, reports, billing, and content updates with operations vendors.
  • Assist with scheduling meetings, updating project plans and timelines as needed.
  • Update standard operating procedures and training programs as needed.
  • Responsible for answering and/or routing questions/tickets from property leaders to the appropriate department or corporate leader.
  • Route project needs and follow-up to appropriate leaders as needed.
  • Type letters, reports, forms, and correspondences as needed.
  • Assist team with annual leadership conference
  • Assist with common administrative tasks: note taking, proof-reading documents, printing, meeting prep, presentation prep, coordinating travel, etc.
  • Coordinate regional update calls
  • Coordinate regional team visits and agendas
  • Calendar management/updates and all invites
  • Standardize agendas for hotel engagement
  • Owner decks and presentations
  • Event planning for regional teams/visits
  • Assist in budget communication process (send invites, owner decks, follow up notes)
  • Property visits smart plan templates and follow up/accountability process
  • Written communication, presentations, and power point

What skills will enhance your success in this role..
  • Prior experience working as an assistant/coordinator. Strong work tenure a plus.
  • Hotel experience preferred
  • Skilled in using Microsoft Applications. Advanced skills in Outlook, PowerPoint, Word and/or SharePoint a plus.
  • Can do attitude, adaptable to change
