Bluebird Event Destination Management is searching for a talented and self-motivated professional event coordinator to organize outstanding and unforgettable events. You will assist the event planner with every part of event preparations, such as choosing venues, working with clients to approve menus and décor, developing seating plans, creating beautiful design packages, event day coordination, and evaluating event success afterward.

As an event coordinator, you should be well-organized and possess a sound knowledge of what is required for large scale event planning. Excellent communication and attention to detail are vital in this role, as our success depends on meeting our client's tailored requirements.

This position will work directly with the owner of our company, and event planner. Your day to day job will be assisting her with gathering all relevant details and information from our highly valued clients. The weekend of an event you will be responsible for executing all event plans as laid out by the planner and client.

This position requires weekend availability during event season and extra-long hours the week of an event. You will be required to be on site in Park City when a client is in town for pre-event prep and during the full event weekend. During a normal work week you will work in in office in Salt Lake City. During the first 6 months of training you will meet 1-2 times weekly with the event planner in Park City, UT.

Responsibilities:

  • Work with the event planner to identify the client’s requirements and expectations for each event.
  • Coordinate with vendors, exhibitors, and rental companies during the event planning process to ensure everything is in order.
  • Coordinate client mock-ups at venue locations when clients visit Park City.
  • Manage all day-of event set-up, tear down, and follow-up processes.
  • Maintain event budgets.
  • Assist in booking venues, entertainers, florists, videographers, photographers, and transportation.
  • Work with Meredith and the Bluebird team to create custom design items for each client.
  • Meet weekly with clients.
  • Conduct final inspections on the day of the event to ensure everything adheres to the client’s and Bluebird’s standards.
  • Coordinate day of event staff.
  • Help to manage assistant coordinators to make sure all client and rental items are returned in a timely manner following an event.
  • Assist in creating floorplans, and guest list seating.
  • Assess an event’s overall success and submit findings.

Requirements:

  • At least 3 years experience as a senior event coordinator working specifically in weddings and corporate events.
  • Well-organized with excellent multi-tasking abilities.
  • Outstanding vendor management skills.
  • High level of professionalism.
  • Bachelor’s degree in hospitality management or public relations is preferred.
  • Strong communication and interpersonal skills.
