The Service Ops – Administrator role is responsible for the setup, assignment and maintenance of service projects. The Service Ops – Administrator supports Service Ops Accounting and Project Managers by managing the project request queue, maintaining the professional services automation (PSA) tool, creating subcontractor records, and responding to internal customer's requests for project analysis and support.
Job Responsibilities
- Develop and assist with the build-out of service projects including project templates, properties, work breakdown structures, phase and tasks details and structures, and special projects in support of the Service Ops Accounting and the Project Managers
- Continuously maintaining and validating projects and data in the systems
- Review project data in systems and work with appropriate parties to ensure accuracy
- Work with internal customers regarding project timelines and schedules
- Work with regional PMs and Delivery Teams to customize and send customer Welcome Letters as needed
- Ensure a strong customer experience by maintaining a high level of communication and professionalism to the team: sales, external customers, delivery personnel, PMO, Business Operations and GuidePoint stakeholders; foster relationships by providing support, information and guidance; effectively negotiate with team members as necessary
- Consolidate and report project setup issues and metrics
- Support Service Ops Accounting end of month processes, tasks, and invoicing, including project close out
- Ensure delivery team members' adherence to process guidelines
- Enhance and maintain relevant security, project management, business skillsets and capabilities
- Other duties as assigned
Desired Skills and Experience
- Bachelor's degree in Accounting, Finance or Business Administration required, or equivalent in work experience
- 2-3 years accounting experience including analysis and reconciliations
- Excellent communication, analytical and reasoning skills with a high confidence in stating professional opinions required
- Knowledge of ERP and accounting systems; experience with NetSuite ERP, Salesforce and OpenAir experience is highly desirable
- Background in invoicing for engineering and/or consulting services
- Attention to detail is a must
- Possesses the ability to self-manage and adapt to changes, delays, or unexpected shifts in priorities while maintaining focus and productivity in a fast-paced environment
