Job Description
Position Summary:
The Staff Engagement Coordinator is responsible for assisting with operational and administrative functions for Student Affairs at Vanderbilt. This position reports directly to the Director of Administration and assists with the development and implementation of onboarding policies, staff engagement and training programs and professional development offerings for the division. The Staff Engagement Coordinator manages the training and professional development calendar, coordination of event logistics, employee registration and course updates in various online training platforms. This role serves as a Learning Specialist in the Oracle Cloud system.
The position also assists with the graduate assistant program, a collaboration with Peabody College of Education. This position interacts regularly with all Student Affairs staff and with other campus partners across the university.

Key Functions and Expected Performance:
Staff Engagement:
- Oversee the division’s meeting, training, and professional development calendar by managing all aspects of events including, but not limited to, scheduling speakers, event logistics, staff registration, accessibility needs, etc.
- Assist with the logistics of staff onboarding including communication, scheduling, and updating webpages and staff engagement platforms.
- Serve as an Oracle Learn Specialist and assist with the development and implementation of online training modules for staff.
- Schedule and facilitate training programs for staff that enable personal and organizational development around key competencies.
- Organize staff professional development programs and opportunities.
- Serve on the Staff Engagement and Community Committee and promote and plan committee initiatives.
- Plan and execute staff engagement and professional development events, including event set-up, catering, audio/presentation oversight, decorations, clean-up, etc.
- Coordinate the Student Affairs Staff Awards, including soliciting nominations and organizing review committee.
- Coordinate the Student Affairs Service Awards.
- Coordinate with the Student Affairs communications team to provide information to staff.
- Assist with the assessment of staff engagement initiatives and make recommendations for continuous improvement.
- Schedule and attend monthly Student Affairs New Hire Orientations.
- Create high level power point presentations to convey needed information in a clear manner.
- Maintain divisions Clifton Strengths data and coordinates staff engagement with the Clifton Strengths program.
Graduate Assistantship Program:
- Coordinate the hiring process for the graduate assistant program in collaboration with campus partners across Vanderbilt.
- Coordinate the onboarding of all Student Affairs Graduate Assistants and Graduate Area Coordinators.
- Oversee the monthly Student Affairs graduate assistant professional development programs and social events. Make recommendations for continuous improvement.
- Reserve spaces events and purchase required items for training.
- Coordinate the Student Affairs Graduate Assistant retreat.
- Use One Card for recruitment and staff engagement purchase requests and other Student Affairs central administrative requests.
- Understand and comply with One Card policy and procurement policies.
- Maintain an understanding of institutional and departmental financial policies related to areas such as travel, procurement, expense, and time reporting to ensure compliance and proper stewardship of university resources.
- Participate in University, division, and departmental committees and task forces, as assigned.
- Participate in division wide events, as needed, to support colleagues and ensure these events run smoothly.
- Demonstrate a willingness to support colleagues across the division in order to encourage the implementation or fulfillment of divisional goals and strategic priorities.
Supervisory Relationships:
- The position does not have supervisory responsibility; this position reports administratively and functionally to the Director of Administration.
Education and Certifications:
- A Bachelor’s degree from an accredited institution of higher education is necessary.
- Master’s degree in Higher Education, Student Affairs, or related field is preferred.
Experience and Skills:
- At least 2 years of directly comparable experience is necessary.
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community is necessary.
- Organizing and coordinating skills are necessary.
- Ability to perform complex tasks and to prioritize multiple projects is necessary.
- Ability to communicate effectively, both orally and in writing is necessary.
- Commitment to maintaining confidentiality of employee personal data is necessary.
- Experience analyzing program effectiveness and creating/implementing interventions to improve results.
- Demonstrated presentation skills
