Staffing & Pt Flow Coordinator Job at Advocate Aurora Health
Major Responsibilities:
Coordinates Staff & Scheduling for the Nursing Division on a daily basis
1)Collaborates with directors, managers, supervisors, charge nurses, and others as needed to maintain appropriate staffing levels
2)Collaborates with bed management and staffing coordinator to monitor appropriate daily allocation of all nursing division staff.
3)Responsible for cost effective utilization of nursing labor resources
4)Ensures daily maintenance of schedules is complete and accurate for all nursing departments
5)Manages staffing/bed huddles twice a day and ad hoc as needed
6)In collaboration with nursing leadership, updates, creates and educates associates on policies that affect staffing
7)Primary instructor for Staffing & Scheduling classes and develops secondary instructors. Schedules training classes for self-scheduling and daily maintenance for Staffing & Scheduling end-users.
8)Provides 1:1 education for Staffing &Scheduling to new Managers of Clinical Operations and Assistant Clinical Managers.
9)Disseminates weekly reminders to nursing leadership regarding staffing & scheduling timeline segments
Data collection, synthesis and analysis for multiple requisite data bases advising on nursing quality, patient throughput and hospital staffing
1)Ensures prompt completion and submission of hospital NDNQI data base
2)Ensures Teletracking data accuracy and appropriateness
3)Assists nursing leadership in identifying sources of stagnation of patient flow.
4)Assists with emergency department metrics informing on delays in patient flow within the department.
TeleTracking Bed Management and Patient Throughput Initiatives
1)Visit units to identify available beds, ensure accuracy of teletracking bed board as compared to Allegra census
2)Utilize AM Bed Huddle as a planning tool to improve patient flow, ensuring unit leadership follows patient throughput initiatives; such as, inputting pending discharges into teletracking.
3)Utilizes AM Bed Huddle as a planning tool to improve patient flow, ensuring unit leadership follows patient throughput initiatives
4)Identify and hardwire best practices related to patient throughput from point of entry to discharge.
5)Oversee placement of admitted and transfer patients to beds.
6)Assess staff capacity to safely care for patients when admitted/transferred to units
7)Collaborates with all patient care deparments to ensure timely and appropriate patient placement.
8)Monitors ED by-pass hours as related to bed and/or staff availability.
9)Reviews and improves performance related to patient throughput through the deployment of change acceleration process tools.
Misc.
1)Provides leadership 1:1 education for Preadmit Tracking.
2)Monitor interface data crossing into Teletracking: to ensure consistent accurate flow of information including Transport Tracking, Bedtracking, PreAdmit Tracking, Allegra and Care Connection.
3)Schedule and coordinate site software updates with Technical Support from Teletracking. Disseminates information including upgrades and enhancement documentation to end users to optimize Teletracking system utilization.
5)Creates and distributes monthly tips and hints for Teletracking end users including enhancements.
6)Assists NRO Management in assuring that all procedures related to the system are current and written in such a manner as to be user friendly and in compliance with all regulatory agencies and/or standards for both clinical and technical aspects of the system.
7)Maintain system confidentiality by adding new user secruities and removing user securities no longer in use.
8)Provides first-line leadership for the system.
4)Coordinate communications internally with management and externally with the designated Advisor for Teletracking for hardware and software problem resolution.
Site Administrator for ShiftWise Electronic Agency Scheduler
1)Reviews nursing agency sign-in sheets, contract RN sign-in sheets for accuracy and overtime approval, reports any documentation/other issues to Manager/Agency. Verifies and processes nursing agency bills, ensuring accurate payment to and from agencies, in accordance with signed contracts in the absence of the staffing coordinator. Communicates with Patient Care Leadership and Financial Services regarding agency billings when needed.
3)Schedule and coordinate site software updates with vendor. Disseminates information including upgrades and enhancement documentation to end users to optimize ShiftWise system utilization. Provides staffing coordinator 1:1 education for ShiftWise.
4)Responsible for the build of new units/departments in the ShiftWise system.
5)Assists NRO Management in assuring that all procedures related to the system are current and written in such a manner as to be user friendly and in compliance with all regulatory agencies and/or standards for both clinical and technical aspects of the system.
6)Completes Finance Report for per diem nursing agency personnel, in order for hours to be reflected on Labor Distribution Reports. Compiles monthly accrual reports for agency utilization and forwards to Financial Services.
7)Coordinate Communications internally with staffing coordinator and externally with the vendor for hardware and software problem resolution.
8)Maintain system confidentiality by adding new user securities and removing user securities no longer in use.
2)Monitor interface data crossing into Nursing Compass from ShiftWise to ensure consistent accurate flow of information.
Maintain information system equipment and accessories
1)Performs required maintenance checks on all equipment on a regular basis and corrects any problems found.
2)Prepares and sends out any equipment needing repairs. Assures that all repairs are logged, tracked and accounted for at all times.
3)Works with manager, vendors and Information System staff to bring new devices on-line and troubleshoots existing devices.
Education/Experience Required:
BA/BS or equivalent plus 2-3 years experience in Information Systems and/or bed management, accounting and invoicing procedures, staffing, data collection and analysis in a health care setting.
Knowledge, Skills & Abilities Required:
Ability to use Excel, Word, PowerPoint, or equivalent software Strong organizational skills Excellent interpersonal skills Good oral and written communication skills Ability to work independently

Ability to handle sensitive personal computer equipment and printers. Ability to extend oneself to lend support to the computer system and users keyboard. Ability to travel locally to other Advocate sites.
If position has direct patient care or direct patient contact the following lifting requirement supersedes any previous lifting requirement effective 06/01/2015. Ability to lift up to 35 pounds without assistance.
